JOB SUMMARY:

The Major Projects department is responsible for the planning and execution of SaskPower’s largest, most complex, highest risk projects for the Generation and Transmission business units. The Major Projects department is seeking a Specialist to lead the development, implementation and management of systems, processes, procedures, templates, reports and metrics specific to document control and records information management for the delivery of Major Projects. The Specialist will be responsible for the management of incoming and outgoing project document/submittal control, document routing and tracking, archiving and status reporting for the department.

As a member of SaskPower’s management team, the Specialist is responsible for acting as a central point of contact in the management and administration of strategic and operational document control and records information management functions, providing expert advice and direction that aligns with departmental and corporate goals, objectives and standards. This role will be based out of SaskPower’s Head Office in Regina, Saskatchewan.

KEY ACCOUNTABILITIES:

  • Plan, research, develop, evaluate and implement processes, policies, procedures and systems utilized for document control and records information management to ensure integrity, accessibility and traceability of project records to SaskPower’s business and project management standards
  • Act as a subject matter expert in document control and records information management to develop, implement, coach and assist management staff in the administration and interpretation of corporate policies and standards; providing advice that is appropriate, practical and consistent with relevant legislation, regulations, laws and/or industry standards
  • Identify new business solutions and operational efficiencies, while providing recommendations which have a significant impact on SaskPower’s business operations and strategies
  • Lead and/or participate in cross-functional projects providing functional expertise for the development of document control processes and systems for corporate and departmental strategic planning initiatives
  • Represent the department and prepare and present material to internal and external audiences as required
  • Maintain knowledge of industry developments and best practices related to area of specialization and adapt them to SaskPower’s operational environment
  • Manage project and department document distribution, review and approval processes
  • Manage and store project documents in compliance with corporate Records Information Management (RIM) and regulatory standards
  • Provide leadership and direction to project teams and/or assigned staff as required

KNOWLEDGE/SKILLS/ABILITIES:

  • Degree or Diploma in Business, Information or Records Management, Library Science or other related equivalent AND/OR;
  • Related professional designation(s) and/or certification(s) AND/OR;
  • Five (5) years of related experience in information management, document control or records management, preferably with large-scale or complex projects
  • Proficiency in electronic document management software and systems (e.g. SharePoint, OpenText, or equivalent)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Team player with the ability to build and maintain strategic relationships both internal and external to SaskPower
  • Results oriented thinker, with the ability to manage and provide advice regarding complex and confidential issues with sensitivity and professionalism
  • Excellent analytical, research and problem-solving skills
