The Accounting Clerk reports to the Corporate Controller for Hall Group of Companies’ business units and is accountable to assist the Corporate Controller with billings, accounts receivables & accounts payables and other accounting tasks, as required.
Core Responsibilities:
Billing & Invoicing
-
Prepare, review, and issue customer invoices in accordance with contracts, purchase orders, and company policies
-
Ensure invoices are accurate, complete, and supported by appropriate documentation
-
Resolve billing discrepancies and respond to customer billing inquiries in a timely manner
Collections & Accounts Receivable Administration
-
Prepare AR aging reports and other collection related reports as required
-
Monitor accounts receivable and follow up on overdue accounts via email and phone
-
Work with customers to resolve payment issues and secure timely payment
-
Escalate delinquent accounts in accordance with internal credit and collections policies
-
Apply customer payments accurately and reconcile customer accounts
-
Maintain up‑to‑date customer account records and credit information
Accounts Payable Administration
-
Invoice processing including receiving, reviewing, and verifying invoices for accuracy, proper documentation, and appropriate approvals with a high level of accuracy
-
Maintain vendor files, respond to vendor inquiries, and resolve discrepancies or payment issues
-
Prepare scheduled payment runs (cheques, EFTs), ensuring payments align with terms and internal controls
-
Reconcile vendor statements to ensure all invoices are accounted for and resolve outstanding items
Technical Skills:
-
Strong working knowledge of AP & AR reporting requirements
-
Proficiency with Microsoft Office, strong Excel skills
Interpersonal Skills:
-
Strong work ethic and demonstrated team collaboration skills
-
Strong problem-solving skills with the ability to identify issues and propose solutions
-
Ability to work in a fast-paced environment and juggle multiple duties
-
Responsive, excellent time management skillset
-
Highly detail oriented and analytical
Qualifications:
-
Minimum of three years of experience in accounting / finance role
-
Accounting Diploma or equivalent credential is considered an asset
-
Prior experience within the construction industry is desirable
-
Demonstrates ability to take responsibility for deadlines and accuracy of work
