Position Summary A Manufacturing Company in Canada is seeking a highly organized, hands-on, and high-performance Office Manager to oversee office administration, shipping and logistics operations, inventory coordination, and day-to-day operational support within a fast-paced manufacturing environment.

This role requires a proactive and results-driven leader capable of managing administrative and operational workflows while ensuring accuracy, efficiency, accountability, and excellent service delivery across departments. The ideal candidate has strong freight and shipping experience, operational coordination capabilities, and the ability to lead by example in a dynamic production and distribution setting.

The Office Manager will play a key role in supporting business continuity, optimizing operational processes, coordinating logistics activities, and maintaining high standards across office and shipping functions.

Key Responsibilities Office Administration & Operational Management Oversee daily office operations to ensure an organized, efficient, and professional work environment. Manage office supply procurement, office upkeep, and administrative support functions. Coordinate company mail handling, banking transactions, check deposits, and operational remittances including CRA and WSIB payments. Maintain organized administrative and operational filing systems for invoices, packing slips, shipping documentation, and company records. Ensure accurate scanning, filing, storage, and maintenance of operational and shipping documentation. Support implementation and compliance of company procedures, workplace protocols, and operational standards. Assist management with administrative coordination, reporting, and operational support activities. Identify and implement process improvements to enhance office efficiency and workflow effectiveness.

Shipping, Freight & Logistics Management Oversee and coordinate domestic and international shipments for sales orders, parts orders, samples, and warranty items. Ensure shipping accuracy through review and verification of pick lists, shipping details, and shipment documentation. Manage preparation and completion of shipping documentation including bills of lading, packing slips, shipment labels, customs documentation, W-9s, and related compliance requirements. Coordinate freight bookings, courier pickups, and shipment scheduling using shipping portals and carrier systems. Monitor shipment progress, proactively resolve delays or delivery issues, and coordinate with freight providers and courier representatives regarding shipment exceptions. Ensure customers and stakeholders receive timely shipment notifications, tracking updates, and issue resolutions. Maintain accurate shipment records and ensure all shipping paperwork is properly organized and electronically stored. Monitor purchase orders, shipping schedules, and fulfillment timelines to support operational continuity. Troubleshoot shipping and logistics concerns while coordinating appropriate corrective actions.

Inventory, Receiving & Fulfillment Oversight Oversee receiving activities and ensure incoming deliveries are verified against packing slips and shipping documentation. Coordinate inventory receipt processing and ensure accurate system updates. Support inventory control activities including replenishment coordination, backorder monitoring, and inventory record accuracy. Oversee fulfillment of customer parts orders, internal requests, warranty shipments, and sample shipments. Ensure outgoing shipments are accurately packed, labeled, documented, and dispatched in a timely manner. Coordinate with warehouse, production, and sales teams to support efficient order fulfillment and inventory movement.

Cross-Functional Coordination & Leadership Work closely with production, warehouse, sales, finance, and management teams to support smooth operational workflows. Maintain high standards of accountability, responsiveness, and operational accuracy across all functions. Support coordination of priorities, deadlines, and workflow management in a fast-paced manufacturing environment. Assist in training, guiding, and supporting administrative and shipping personnel as required. Foster strong communication and collaboration between departments and external partners. Perform additional operational duties and special projects as assigned by management.

Qualifications Minimum 5 years of hands-on experience within freight forwarding, logistics, shipping, transportation, or supply chain environments, including experience in office management, operations administration, or business operations. Strong experience managing office operations while coordinating freight, shipping, inventory, logistics, and operational workflows, preferably within freight forwarding or logistics companies. Proficiency in shipping portals, ERP/inventory systems, and standard business and office software applications. Demonstrated ability to manage multiple operational priorities with a high level of accuracy, organization, and attention to detail. Strong leadership, problem-solving, communication, and coordination skills. Ability to work independently, make sound operational decisions, and perform effectively in a fast-paced environment. Proven reliability, accountability, and leadership capability in operational and logistics-focused roles. The ability to legally work in Canada (as a citizen, resident or holding other current and valid work permit).

Contribute to continuous process improvement, operational efficiency, and customer satisfaction. Demonstrate leadership, accountability, and high standards of operational execution.
