Duties:

Reporting to the tiwšɛmawtxʷ Campus Operations Manager, and supervised by the tiwšɛmawtxʷ Campus Administrative Assistant, the Campus Services Clerk is the first point of contact for students and members of the public and supports campus instructors and staff. This position requires excellent customer service in-person, over the phone, and via email to respond to inquiries about campus programs, facilities, and operations and to process student registrations. Campus Services Clerk work cooperatively as a part of the Campus Services and Administrative teams to support all campus programming and operations and liaise as necessary with colleagues at tiwšɛmawtxʷ as well as the Nanaimo and Cowichan campuses.

Specific duties include:

  • responding to in-person, phone, and email inquiries and other reception activities;
  • processing applications from initial submission to final registration for both credit and non-credit programs and courses;
  • maintaining admissions records and contacting students as needed;
  • providing information on admission requirements and procedures;
  • setting up Student Services appointments and exam invigilations;
  • managing campus ingoing and outgoing mail;
  • cashiering and payment processing;
  • overseeing office supplies and ordering;
  • compiling, filing, printing, and copying documents;
  • managing program interest lists;
  • open and closing campus; and
  • other duties as assigned.

Required Qualifications:

One-year certificate in Office Administration, or an equivalent, from an appropriately accredited institution. Minimum 3 years recent, directly-related experience. An equivalent combination of education and experience may be considered.

  • Excellent interpersonal and communication skills (both written and verbal)

  • Commitment to customer service

  • Strong attention to detail

  • Excellent information-finding skills (via internet, databases, contacts)

  • Demonstrated experience with databases/online systems and file management

  • Ability to exercise good judgement, tact, and respect for confidentiality

  • Ability to organize and prioritize workload independently and with appropriate level of initiative

  • Considerate and collaborative approach to working with others

  • Proficiency with Microsoft Office suite

  • Commitment to supporting equity, diversity and inclusion in the workplace

  • Valid OFA Level 1 Certificate required (or obtain as per CUPE Article 23.03 c).
