About the role

*SUMMARY: *

The Consultation Assistant provides administrative, coordination, and tracking support to the Consultation Coordinator to ensure the effective management of consultation activities, regulatory processes, and related documentation.

KNOWLEDGE AND SKILL REQUIREMENTS:

  • Highly organized and flexible
  • Excellent oral and written communication skills
  • Advanced knowledge of Microsoft 365 suite and presentation software
  • Bilingualism would be an asset
  • Absolute confidentiality and good work ethics are essential

*EDUCATION AND EXPERIENCE REQUIREMENTS: *

· High School diploma or equivalent minimum

· Post-secondary diploma in office administration or related field preferable

· Experience in the mining sector would be an asset

· General accounting knowledge would be an asset

· Valid driver?s license and willingness to travel as required

*MAJOR RESPONSIBILITIES: *

Consultation Administration & Coordination

· Provide direct administrative support to the consultation coordinator

· Maintain organized digital and physical filing systems

· Track incoming notices, referrals, and correspondence related to consultation activities

· Assist with follow-up communications as directed

· Format, type, and file meeting notes

· Maintain strict confidentiality of all consultation materials and discussions

Regulatory Tracking & Permitting Support

· Track permits, applications, and regulatory processes (e.g., mining, energy, and industrial projects)

· Monitor timelines, deadlines, and key milestones

· Maintain consultation logs and tracking systems

· Assist with preparation and submission of documentation as directed

· Track notices related to early exploration, advanced exploration, and closure plans

· Demonstrated ability to maintain accurate digital records, logs, and tracking systems with a high level of attention to detail

· Strong organizational and administrative skills, with the ability to manage multiple files, deadlines, and priorities

· Experience with email management, scheduling, spreadsheets, and document control systems

· Ability to work independently with minimal supervision while supporting a fast-paced consultation environment

· Understanding of mining processes, permitting, or indigenous consultation is an asset

Job Types: Full-time, Permanent

Pay: $50,000.00-$70,000.00 per year
