THE ORGANIZATION: Kamloops Aboriginal Friendship Society (KAFS) was established in 1972 and is a non-profit organization with a status free open-door policy. KAFS is dedicated to empowering the Aboriginal and non-Aboriginal communities of Kamloops and surrounding areas. KAFS provides culturally appropriate programs and inclusive services that meet the needs of urban Indigenous people to become healthier, physically, mentally, emotionally, and spiritually. THE OPPORTUNITY: The Administrative Program Support Worker provides essential administrative, and logistical to the Family Violence Prevention (FVP) program. This role supports the coordination and delivery of programming, ensures smooth day-to-day operations, and acts as an initial point of contact for community members accessing services. Working within a trauma-informed and culturally safe framework, this position plays a key role in supporting program staff, coordinating events and workshops, maintaining accurate records, and responding to community inquiries. The role requires strong organizational skills, professionalism, and the ability to respond with care and discretion when engaging with individuals who may be experiencing distress or violence. This position does not provide ongoing case management and works in coordination with FVP caseworkers to ensure individuals are connected to appropriate supports. A DAY IN THE LIFE – ROLES AND RESPONSIBILITIES:
- Program Administration & Financial Support Complete monthly VISA reconciliation for program-related expenses, ensuring accuracy, proper coding, and timely submission of receipts and documentation. Support purchasing and procurement processes for program activities, including ordering supplies, materials, and resources for workshops and events. Maintain organized financial and administrative records in accordance with organizational policies and program requirements. Assist with tracking program expenditures and supporting reporting requirements.
- Event & Workshop Coordination Assist in the planning, coordination, and execution of program events, workshops, and community initiatives. Support logistics including scheduling, venue coordination, catering, and materials preparation. Prepare and organize workshop supplies and materials for facilitators and participants. Collaborate with program staff to ensure smooth delivery of events and programming. Provide on-site support during workshops and events, including set-up, take-down, and participant support.
- Community Support and Communication Serve as a primary point of contact for community members inquiring about FVP programs and services. Answer, screen, and respond to phone calls and inquiries in a professional, respectful, and trauma-informed manner. Provide accurate information about available services and programs. Respond to individuals who may be in distress with empathy and care, ensuring they feel heard and supported. Ensure timely and appropriate referrals to FVP caseworkers or relevant KAFS staff when individuals require direct support, intervention, or safety planning.
- Crisis-Aware Response & Intake Support Recognize and respond appropriately to calls from individuals experiencing family violence, intimate partner violence, gender based violence or other crisis situations. Follow established protocols to ensure individuals are connected to appropriate supports in a safe and timely manner. Maintain professional boundaries and ensure all high-risk or ongoing support needs are referred to designated caseworkers.
- Documentation & Record Management Organize and maintain electronic and paper-based filing systems. Support data collection and reporting requirements for program evaluation and funders. Ensure all documentation is completed in compliance with confidentiality and organizational policies.
- Office & Administrative Support Answer, screen, and manage calls on a multi-line phone system. Greet clients, visitors, and guests, ensuring a welcoming and culturally safe environment. Coordinate meeting schedules, agendas, and room bookings. Prepare and distribute promotional materials, announcements, and internal communications. Provide general administrative support to the FVP team as needed.
- Team Collaboration Work collaboratively with FVP staff, facilitators, and community partners. Participate in team meetings, planning sessions, and program development activities. Support coordinated service delivery within the program. Contribute to a respectful, inclusive, and culturally grounded workplace environment.
- Workplace Health & Safety Support Provide administrative support to the Joint Health and Safety Committee (JHSC), including scheduling meetings, preparing and distributing agendas and minutes, and maintaining required records. Assist in tracking inspection reports, incident documentation, and corrective action follow-up in accordance with WorkSafeBC requirements. Support internal communications related to workplace health and safety initiatives and compliance obligations. Certificate, diploma, or experience in: Administration Social Services Community Support Or a related field Experience in administrative support, event coordination, or frontline service delivery. Experience working with Indigenous communities and understanding of Indigenous cultural practices is an asset. Knowledge of trauma-informed practice and culturally safe approaches. Strong organizational, communication, and multitasking skills. Ability to maintain confidentiality and handle sensitive information with discretion. Familiarity with WorkSafeBC regulations and Joint Health and Safety Committee (JHSC) requirements is an asset. Valid Class 5 Driver’s License Reliable transportation Criminal Record Check with Vulnerable Sector Screening Basic First Aid/CPR (preferred) Monday to Friday 8:30-4:30 Occasional evenings and weekends may be required for events and programming Combination of office-based work and community engagement Group benefits including extended health, dental, and vision Employee Assistance Program Paid Time Off Wellness Days Off Preference will be given to applicants of Aboriginal ancestry as per section 41 of the BC Human Rights Code (please self-identity in your cover letter).
