Join Caivan’s Design Team as a Design Studio Coordinator (6-Month Contract). This full-time role runs Tuesday to Saturday, 8:30am – 5:30pm, supporting the day-to-day operations of our Design Studios in Ottawa and Toronto. You’ll combine customer interaction, administrative coordination, and cross-team collaboration in a dynamic environment.

The Role:

• Coordinate and manage customer appointment scheduling and studio activities
• Oversee the Tarion Delay process, including preparing and sending timely notifications
• Host Design Studio open house hours, providing customers with tours and information on available options
• Maintain the studios, ensuring signage, marketing materials, and product samples are updated and organized
• Assist with reselections when products are backordered or discontinued
• Upload finalized customer documents and generate reports for internal use
• Provide administrative support such as market research, reporting, and departmental coordination
• Liaise with Sales & Marketing, Service & Quality, and Construction to ensure consistent communication
• Support the Design Team with additional tasks as needed

You Will Bring:

• Post-secondary education in Business Administration or a related field
• 2+ years of experience in an administrative or coordination role
• Strong organizational and multitasking skills to manage competing priorities
• Clear and professional communication abilities, with a customer-first mindset
• Attention to detail and a proactive, solution-oriented approach
• Ability to work independently while contributing to a team environment
• Valid driver’s license with access to a vehicle and willingness to travel between studios
• Steel-toe footwear (required for site access when needed)
