We are seeking a dynamic and organized individual for an exciting opportunity to join our team as a Brand Ambassador- 12 month contract. The ideal candidate will play a pivotal role in creating a welcoming environment, managing the reception desk which includes various office tasks, while providing support to leadership and the marketing team. Key responsibilities include handling guest interactions, coordinating office logistics, assisting with travel arrangements, shipments, customer and coworker experience, event coordination and more. A successful candidate needs to possess strong time management skills, demonstrate flexibility and problem-solving abilities, contributing to the smooth operation of administrative affairs. The role requires excellent communication skills, strong attention to detail and the ability to multitask efficiently in a fast-paced environment while maintaining a professional atmosphere.
What you'll do:
- Welcome guests with a positive and friendly attitude - issue visitor badges, manage daily parking validation, track guest sign-ins and assist with wifi instructions.
- Manage reception desk – answering phone calls, taking messages, liaise with departments to be central point of contact for all office requirements.
- Receive and send shipments - Handle packages by logging in/out, distribute packages, assist with ordering and set up of food deliveries and catering. Ability to lift boxes as required.
- Maintain common office spaces - coordinate boardroom bookings (ensure room readiness and reset), maintain reception space, meeting rooms, hotel desks, cafeterias and other common spaces to ensure positive and tidy experience for coworkers and visitors.
- Monitor and replenish office, marketing and first aid supplies – organize and maintain supplies and promotional materials, ensuring closets are kept functional, organized and tidy.
- Liaise with building management - utilize the TWM Maintenance Portal for facility management, distribute communications from building management, coordinate additional requirements for building maintenance, identify and report technical issues, liaise with maintenance staff for resolution
- Assist with fire and safety practices.
- Conduct office tours for coworkers and visitors and organize coworker headshots.
- Marketing assistance – support internal events and activities, including volunteer days, support reporting and project management for campaign activities including social, digital, events, conferences and more.
- Executive engagement - book travel arrangements for company executives, including accommodation and travel.
- Submit expense reports, maintain transaction records, and assist with administrative duties.
- Assist with general procurement duties – source and add suppliers, track expenses, open POs and maintain marketing P&Ls.
- Communication – provide regular building and marketing communication updates including maintaining information refresh on Sharepoint (project-specific).
- Provide general support for teams as necessary.
Additional Responsibilities:
- Required to work in the office 5 days per week
- Provide general marketing and promotion support to marketing team as required which may require working evenings or weekends (5-10% of the time)
What you need to succeed:
Must-have:
- 2+ years relevant experience in office management, Marketing, Sales, or related activities.
- Strong time management, communication, and flexibility skills.
- Ability to follow instructions and prioritize tasks effectively.
- Friendly communication style with demonstrated attention to detail, a high-standard for excellence and strong written and verbal skills.
- Reliable, deadline-oriented, and innovative organizational skills.
- Advanced problem-solving abilities with demonstrated ability to think on your feet while maintaining a calm and professional demeanor.

We determine individual pay within a given range based on a candidate's prior experience, knowledge, skills and abilities. This approach allows us to offer competitive and equitable salaries that reflect the value and responsibilities of each role at CDW. Salaries are based on a 40-hour workweek, and paid on a bi-weekly payroll schedule.
Pay range: $ 55,000- $ 60,000, depending on experience and skill set
