About the role

We are currently hiring for a Production Coordinator to support our team at the Toronto studio.

Reporting to: Production Manager

Purpose: Why you’re here at Brown Bag Films

  • To ensure that all assigned aspects of the Production are executed in a timely manner, of high quality and in accordance with the schedule in liaison with the Production Manager, the crew and/or external partners.

Delivery: What you produce

  • Weekly reports for Production Manager/Producer

  • Priority task lists for departments, and crew as needed

  • Agendas, note-taking and follow-up

  • Micro-schedules.

Measurements: How we measure it

  • On-target completion of assigned aspects of production

  • Clean and accurate tracking systems

  • Efficient and effective communication across the production phases and departments

  • Feedback from Production Manager/Producer and 360 feedback from Director and Supervisors.

Key Responsibilities

What you are regularly responsible for doing

  • Acting as a point of contact for all activities related to assigned production.

  • Depending on the Production, responsibilities may include ensuring Script coordination and breakdowns, voice records coordination, storyboard and leica coordination, asset tracking, animation tracking (including compositing and FX), and post production coordination.

  • Scheduling meetings, reviews, taking and tracking notes, ensuring thorough preparation, facilitating the discussion, and implementing follow-up notes.

  • Collating and organization of creative notes (not limited to writing team).

  • Leading production tracking of assigned departments, flagging issues and offering suggestions to the Production Manager.

  • Engaging and supporting the Artists, ensuring they have the tools required to complete their tasks.

  • Assisting the Production Manager and Producer in preparing materials for reviews and deliveries.

  • Managing input and output for outsourced shipments, when applicable.

  • Managing script distribution: to the client, production team, consultants, script clearance house, S&P when applicable.

  • Preparing weekly reports and providing administrative support for the Production Manager and Producer.

  • Preparing materials for the voice records, setting up character sides, distribution of music & lyrics.

  • Assisting Production Manager in sourcing marketing materials.

  • Assisting in wrap procedures, mid and postmortems.

  • Assisting Production Manager in Award Submissions.

  • Additional duties deemed as necessary by Director, Producer and Production Manager.

Key Requirements

Requirements for the role: Things that help you do your job (what is essential & what is desirable)

  • Knowledge

o Strong understanding of production pipeline, schedules and deadlines, project management techniques.

o Good knowledge of working with unions (WGC, ACTRA).

  • Experience

o Previous Production Coordination experience desirable, ideally in animation industry.

o Experienced in maintaining tracking documents.

  • Technical skills

o Microsoft Office, in particularly Excel, Outlook, Calendar, and Final Draft.

o Basic use of Photoshop and Acrobat.

o Strong ability to use asset tracking software e.g. Autodesk’s Shotgrid.
