About the role

Purpose Reporting to Team Lead, Sales, the Vacation Consultant, Group has overall responsibility to understand group travel needs while developing the group travel market. This includes growing the number of groups, the number of passengers, and the profitability of the groups department. Sales activities are both reactive – responding to incoming leads; and proactive – actively soliciting repeat business, initiating sales calls, prospecting new customers, and developing new markets.

Key Areas of Accountability

  • Maximize group sales in cooperation with field sales activities and through coordinating telemarketing, direct sales calls, database marketing and mail-outs.
  • Log all leads, revenue opportunities, and sales activities in Salesforce.
  • Prepare detailed proposals for Group clients from all markets, including developing timely and accurate quotations and itineraries; and including blocking rail inventory prior to submitting proposal to client.
  • Create customized itineraries as appropriate.
  • Either individually or in tandem with field sales, manage the sales pipeline by following up on proposals in order to secure the business and make proposal adjustments as appropriate.
  • Ensure, either directly or through an operations specialist, that the execution of charters or group bookings to the highest possible standard.
  • Effectively manage the sales funnel through timely completion of sales activities (keeping tasks current in Salesforce).
  • Build all quotations and bookings in Kaptio
  • Perform additional group activities which include invoicing and collecting deposit and final payments.
  • Work closely with clients and field sales to maximize number of guests booked on contracted programs through creative promotional ideas specifically designed for their clientele.
  • Meet and greet groups during the season.
  • Cross train other members of the Sales Department on product knowledge and operations policies.
  • Follow up with the client after the group has travelled to ensure customer satisfaction and secure repeat business – future booking.
  • Contribute to the overall Groups strategy including assisting with the development of the Sales & Marketing Plan, assisting with group pricing strategy, assisting with the development of Group Consultants, and working on special projects to enhance the Organizational Efficiency as it relates to the Groups department.
  • Liaise closely with the Guest Services and Product Department to maintain an up-to-date supplier database on hotels, attractions, transportation and sightseeing in Canada and work with Group Sales Coordinator to ensure accurate, organized and easily accessible filling system.
  • Contribute with constructive feedback and solutions at Groups Department Meetings.
  • Attend and participate in trade show, familiarization tours, and industry events relevant to the group market segments as required.
  • Develop systems, procedures, and functions to eliminate redundancy and increase efficiency and effectiveness of all members of the Groups team.
  • Work closely with the Manager, Groups and Field Sales to ensure good communication between Groups and the rest of the Sales team.
  • Develop sales skills and techniques and cross train to understand all processes of the Sales team.
  • Ensure complete and ongoing knowledge of Rocky Mountaineer policies, procedures, and products.
  • Liaise with Produce Operations team.
  • Participate in meals, menu selections.
  • Briefing Tour Directors on itineraries.
  • Other operational tasks as required

Qualifications Experience

  • Proven organizational and administrative skills.
  • 3 - 5 years’ experience in coordinating groups or proven sales account management experience.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to prioritize and work on several projects simultaneously.
  • Commitment to guest service excellence.
  • Solid business acumen.
  • Previous experience with CRM systems (Salesforce) an asset.
  • Computer literate (Microsoft Office: Word, Excel, PowerPoint, Outlook).
  • Established connections in business, hospitality, and tourism communities an asset.
  • Preference will be given to those candidates who have previous hospitality sales, event planning and/or hospitality operational experience.

Work Environment

  • Fast-paced sales center with hybrid work options (in office 3 days a week).
  • Rotating shifts including evenings, weekends, and holidays.

Compensation The base salary offered for this role is $53,000.00 per annum and can vary based on job-related expertise, qualifications, experience and internal equity. Eligible for Armstrong Collective's dicretionary bonus program.
