Job Status: Limited Position
Estimated Probable Duration: Seven (7) Months

Union Affiliation: CUPE 4705 Inside Unit
Hours of Work: 70 hours bi-weekly
Shift Work Required: No
Range of Pay: Group 6 - $27.20 to $31.98 per hour

The start date will follow the selection process.

Characteristic Duties: Under the general supervision of the CMMS Co-ordinator.

  1. Audit/Review crew maintenance work cards.
  2. Complete balancing procedures, on a daily basis, including reporting of exceptions to daily payroll records. Follow up with payroll/human resources as required.
  3. Respond to enquiries from employees, payroll and human resources as required.
  4. Prepare, validate, and complete payroll on a daily basis in compliance with all City of Greater Sudbury (CGS) policies, procedures with emphasis on the collective bargaining agreements. Verify the accuracy and making necessary adjustments within PeopleSoft and/or Cityworks. Follow up with human resources and/or operating departments as necessary.
  5. Process hired equipment slips in accordance with CGS policies, procedures, and by-laws with emphasis on the Purchasing By-Law. Verify signing authority as per the Purchasing Authority Policy.
  6. Process hired equipment slip invoices for approval. Investigate and resolve problems associated with processing of invoices such as invoice discrepancies and proper supporting documentation. Liaise with suppliers to resolve PeopleSoft receipting discrepancies, to obtain supporting documentation where it is missing, to resolve supplier enquiries and other matters as they arise.
  7. Complete calculations and input data into various computer programs and spreadsheets for budgetary and reporting needs.
  8. Assist other staff with their duties during periods of overload, vacation, or absence.
  9. Develop and maintain a thorough working knowledge of CGS's Safety Manual and the applicable Provincial Legislation listed therein.
  10. Perform other related duties as required.

Qualifications:

  • Successful completion of Secondary School (Grade XII) Education plus some further specialized training in a related discipline (e.g. PeopleSoft, payroll, bookkeeping).
  • Over six (6) months up to and including twelve (12) months of closely related experience.
  • Demonstrate ability in performing detailed calculation and analysis of reported information.
  • Demonstrate keyboarding (a minimum of forty (40) words per minute) and word processing skills.
  • Proficient in data entry.
  • Ability to work with numbers accurately.
  • Demonstrate interpersonal skills in dealing with the public, staff and outside agencies in a courteous and effective manner.
  • Demonstrate ability to work with computer software and administrative systems in a Windows environment (e.g., payroll, word processing, file maintenance, spreadsheet applications, information input and retrieval, etc.).
  • Knowledge of PeopleSoft functionality relating to payroll.
  • Capable of working under conditions requiring immediate action or priority.
  • Ability to handle large-volume functions.
  • Excellent use of English; verbally and in writing.
  • Satisfactory health, attendance, and former employment history.

This job is also being posted as a development opportunity. Should there be no fully qualified candidate for this position, a candidate who can be expected to meet the required qualifications within a reasonable period of time may be considered for this position as a development opportunity.

Development opportunity range of pay: $26.68 to $30.82 per hour. The successful candidate will be paid at the reduced range until the minimum qualifications have been met.
