Providence Health Care is hiring Referral Clerks for the BC Cancer Agency in Victoria BC! Are you detail-oriented, organized, and passionate about supporting patient care through efficient administrative processes? Join our dedicated team as a Referral Clerk at Providence Health Care, where your accuracy and coordination will help ensure timely access to outpatient services and procedures.

In this vital clerical role, you’ll be the first point of contact for physician referrals, helping to streamline appointment bookings and maintain accurate patient documentation. Your work will directly support clinical teams and contribute to a smooth patient experience.

As a Referral Clerk, your responsibilities will include

  • Receiving and processing physician referrals and re-referrals
  • Determining appointment priority and booking outpatient visits and special procedures
  • Requesting, storing, and organizing supporting patient documentation
  • Entering and retrieving data using computerized information systems
  • Ensuring accurate and timely communication between departments
  • Please note, this opportunity is located on Vancouver Island and is NOT within a commutable distance from the Lower Mainland.

Education & Experience

  • Grade 12 and two years' recent, related experience or an equivalent combination of education, training and experience.

Skills And Abilities

  • Ability to keyboard at 40 w.p.m.
  • Knowledge of medical terminology.

Your Day to Day

  • Receive and process referrals and re-referrals from physicians and hospital units, ensuring all required patient and clinical information is collected.
  • Enter patient demographics, consultation details, and procedure types into the electronic system to complete schedules and maintain accurate records.
  • Create new agency identification numbers and register new patients according to established standards.
  • Electronically file clinical documents and route them for physician review as needed.
  • Evaluate referral information to determine appointment priority and flag concerns for clinical staff review.
  • Process triage instructions by initiating requisitions, booking diagnostic imaging, completing forms, and requesting additional documentation.
  • Book new patient appointments based on triage modality assignments, prioritization guidelines, and physician availability.
  • Conduct pre-registration tasks such as printing patient lists, validating information, and confirming appointment details with patients.
  • Coordinate patient needs prior to clinic visits, including arranging for oxygen, stretchers, counseling services, and interpreters.
  • Maintain referral statistics and participate in quality improvement by providing feedback and supporting process enhancements.
