Position Title

Operations Coordinator, Centres for Manufacturing and Energy Innovation (CMEI)

Position Summary

The Operations Coordinators in Applied Research (AR) assume responsibility for coordination of the successful delivery of plans, projects, and initiatives within the AR centres. The Operations Coordinator, CMEI will coordinate the implementation of activities based on decisions of the Director, CMEI including planning, routing, scheduling, and providing advice and support to the CMEI team, including staff, students, and Subject Matter Experts in the department.

The Operations Coordinator, CMEI contributes to strategic and operational planning, and actions a variety of operational projects in the functional areas of Team Building, Financial Management, and Projects related to the CMEI. The Operations Coordinator supports management activities, including building and completing operational procedures and processes, monitoring operational and project budgets, and acts as the connector for the CMEI. The Operations Coordinator ensures the business operations of the centres function in a collaborative and highly efficient manner.

Position Responsibilities

Operations Coordination and Support

  • Coordinates and implements the work of the CMEI ensuring competing priorities are scheduled in advance and advises the Director and Operations Manager, AR to identify, articulate and act on priorities
  • Leads and coordinates the work of the CMEI, planning the logistics to facilitate the completion of the work associated with RDP’s cycles of budget planning, operational planning, annual reporting, etc.
  • Assesses workflows and establishes processes and procedures that will enhance the operations of the CMEI
  • Plans the logistics to facilitate development of strategic initiatives within the CMEI
  • Makes decisions within guidelines such as determining if an issue can be resolved by the Coordinator, or if it needs to be forwarded to the Operations Manager, or the Director, CMEI or other member of the CMEI team
  • Briefs the Director on historical and emerging institutional issues to advance informed and evidence-based decision making
  • Synthesizes information from various internal and external sources to create succinct and clear directives and or communications, collaborating with Operations Manager, Director CMEI, Associate Vice President, AR or other member of the Applied Research and/or CMEI leadership team
  • Keeps the Director and Operations Manager, AR fully briefed on items of critical importance and provides background and context
  • Facilitates the work of the CMEI ensuring coordination and application of policies and procedures in all actions and tasks as assigned and prioritized
  • Determines, in collaboration with the Divisional Communications Team, how communications will be distributed to various appropriate groups (i.e.: staff, faculty); This includes creating and applying guidelines which dictate the medium used to communicate the information, the frequency of information sharing and format for the information provided to the Operations Coordinator
  • Ensures a safe and healthy work environment by complying with polytechnic health and safety policies, standard practices, and programs in keeping with occupational health & safety legislation and regulations

Human Resources Coordination

  • Coordinates all areas of hiring and the employee lifecycle, in collaboration with the Operation Manager and Operations Coordinator(s)
  • Ensures personnel contracts are issued in accordance with various collective agreements
  • Maintains confidentiality of personal information in accordance with Polytechnic policy, standard practices, and Freedom of Information and Protection of Privacy Act
  • Coordinates and acts as a resource for performance enhancement processes as per RDP policy and practice
  • Coordinates job postings, in consultation with the Operations Manager, including, but not limited to creating, maintaining, and closing postings
  • Oversees the coordination of the exit procedures to ensure the appropriate collection and tracking of information
  • Coordinates and actions onboarding processes for new team members
  • Coordinates and manages the assignment of office space for staff within the CMEI in consultation with the Director, Associate Vice President, AR, Operations Manager and Campus Management
  • Operationalizes and applies Collective Agreements and RDP Policy as they apply to operations, in conjunction with People and Culture

Budget Monitoring and Coordination

  • Leads and supports strategic initiatives by providing project management expertise
  • Responsible for the accurate collection and reporting of metrics required by funders and RDP, such as the CARIN metric collection and entry into Alberta Innovates database
  • Leads collaboration with other internal departments to complete key project initiatives, such as People and Culture, Finance, Marketing and Communications, Grant Management, and External Partner’s Projects
  • Ensures assigned project milestones are met according to timelines, scope, and budget
  • Identifies issues and solutions while providing advice on project progression
  • Leads project teams as assigned and is responsible for project design and planning; implementation and completion; and project assessment
  • Supports the administrative side of project management, including NDA’s, service agreements, sending of final reports, invoicing, and file management
  • Organizes meeting logistics such as scheduling, room booking, catering, etc
  • Mentors internal and external parties/partners regarding applicable RDP processes and practices, as required
  • Proactively and independently conducts necessary research, liaising with internal and external contacts to gather necessary information in anticipation of each meeting
  • Creates and presents reports to meet internal and external timelines and requirement including narrative, financial, and other types of reporting
  • Provides supervision and project management for Work-Integrated Learning students hired within the Applied Research grants and initiatives

  • Actively participates in training and professional development activities as available

  • Actively acquires knowledge and skills related to the position

  • Familiarizes self with policy and procedures

Required Qualifications

  • Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of university in a related program representing four years of study or equivalent in Business Administration or other related field.

  • Minimum three years experience

  • Ability to use and interpret complex data to accurately advise and inform decision makers

  • Strong analytical skills, ability to think outside the box, and apply creative solutions to issues presented Able to advance multiple operational initiatives and decision points within established timeframes and budgets

Preferred Qualifications

  • Knowledge and awareness of the operation of a post-secondary institution is preferred

  • Project management experience is desired
