Workplace Experience Coordinator (Workplace Host) Location: 100 University Avenue, Toronto, Ontario, Canada Employment Type: Full-Time (FTE) Compensation: CAD $27/hour Work Model: On-site About the Role We are looking for a proactive, detail-oriented, and customer-focused Workplace Experience Coordinator (Workplace Host) to deliver an exceptional workplace experience for employees, executives, and visitors. This role is responsible for supporting workplace operations, coordinating meetings and events, managing facilities requests, and ensuring the office runs smoothly every day. The ideal candidate thrives in a fast-paced environment, has outstanding organizational skills, and enjoys providing excellent customer service. Key Responsibilities Coordinate meeting room bookings, setup, and executive meeting support. Organize office events, executive offsites, and company meetings. Coordinate catering for meetings and special events. Manage workplace operations, including office supplies, snacks, beverages, and mail services. Manage guest access, visitor passes, and office access cards. Monitor and manage facility work orders while tracking preventive maintenance activities. Follow up on maintenance requests to ensure timely resolution and excellent customer satisfaction. Maintain workplace documentation, SOPs, and emergency procedures. Liaise with building management and workplace service providers regarding facility-related issues. Assist with hardware shipping, device collection, and basic software updates. Support employee engagement activities and workplace culture initiatives. Maintain a clean, safe, and organized office environment. Required Qualifications 2+ years of experience in Workplace Services, Facilities, Office Administration, Hospitality, or a similar customer-facing role. Experience supporting meetings, events, or executive office operations. Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Ability to work independently while managing multiple priorities. High attention to detail and strong problem-solving skills. Must-Have Skills Ability to manage work orders and track preventive maintenance Excellent customer service skills Strong organizational and time management skills Detail-oriented with exceptional follow-through Proficiency with Google Workspace (Docs, Sheets, Calendar, Gmail, Drive) Experience using Slack Meeting and event coordination Office administration and workplace operations Preferred Qualifications Experience working in a flexible workplace or coworking environment (e.g., WeWork). Familiarity with workplace or facilities management systems. Experience supporting executive leadership and corporate events.
