Position Overview The Golf Administrator is a team member important to the behind the scenes efficient flow of the golf operation ensuring that golf reservations and corresponding information are correct and communicated to the Golf Leaders in order to set the entire golf operations up for success.

You will audit the tee sheets, work on communicating the Non-Resort guest visits, reconcile the Non-Resort PM Accounts, and while doing this produce the comprehensive week out report for the Golf Operations. They will also be the keeper of all team member set up in all golf programs including but not limited to: AgilysysGolf, AgilysysGolf rGuest Online Portal, ClubUp, Golf Genius, Your Golf Booking.com Online Portal, Trackman Range, Korechi Range Pik’r, Yellow Dog Inventory Software, EZ-GO Pace System to name a few.

The Golf Administrator will be a key communication and reconciliation role that will benefit the entire Golf and Turf Operations teams.

Core Accountabilities Team Partnerships

  • Consistently coordinating and communicating with other team members in Pro Shops, Reservations, and Front Desk in a professional, friendly and engaging means.
  • Friendly engagement with guests regarding past or future reservation details

Attention to Detail

  • Be knowledgeable of all Golf Rates, Tee Sheet Structures, and reservations in order to reconcile tee times, City ledgers and support the process of creating the Golf Ops Week Out report.
  • As the You will be one of the main administrators who will audit the tee sheets to ensure they are in order. This will include but not be limited to reviewing tee times to ensure guest names are up to date, obtain caddie requests, and communicating any special requests guests might have (such as medical cart bookings).
  • You will be responsible for looking into potential inconsistencies a guest may have in their golf bookings in advance. Depending on a guest’s requests, you may also work with them to be connected with reservations agent to book reservations for rooms or dining, in addition to golf.
  • Reviewing Day Guest online portal bookings and confirming balances, understanding and providing a report to show why there is a balance, and working with the leadership team to resolve these balances.
  • Manage the Employee and Caddie Online Booking Portal, to ensure current staff and caddies are uploaded and entered into the system and know their log in credentials, and tee sheet access is daily set up.
  • Stay ahead of any rate inconsistencies and working through guest golf billing disputes, to review what should be the correct charges, and making any
  • Working with the reservations team to take the existing reports from the week out data and creating the weekly Golf Ops Week Out report and distributing it to the Golf Department.
  • Building out future tee sheets and rate codes in AgilysysGolf and any other platforms to be updated.
  • Confirm that Golf KPI’s are correct and if any inconsistencies show, identify those to the Director of Golf.
  • Working with the Turf Departments and Golf Ops team coding invoices and distribution to Accounting.
  • Review and manage the PGA, Golf Digest Panelist/Raters and Superintendent Visitation Forms, and make sure that reservations have the details and that any booked are added to the Director of Golf, Head Professionals, and Superintendents Calendars. This would include venting any Industry Guest visitations.
  • Support with Training the reservations team ongoingly on all things Golf
  • Work with Golf Ops team for daily payroll updates, and clock in’s are correct.
  • Be the administrator to help set up users on all Golf Platforms and work closely with the Property System Specialist to be well versed in all our golf systems.
