Job Description
We are hiring for a full-time Event Sales Coordinator position for one of our locations on Queen's University main campus with Aramark Canada and Queen's Hospitality Services.
The Event Sales Coordinator is responsible for the sales and coordination of special events, such as weddings, conferences, retirements, and general events for internal and external customers at Queen’s University Club.
Working in collaboration with the Catering Director, the Event Sales Coordinator will support the sales process, planning, coordination, and execution of events throughout the year. The successful candidate will liaise with a wide range of Queen’s members and departments, as well as community members, service providers, corporate guests, conference planners, and campus guests. The candidate will provide event management support to ensure client satisfaction.
Job Responsibilities
Event Operations
- Act as a primary contact for all inquiries about special events. Provide information, support, and follow up on inquiries. Provide suggestions for room bookings, menus and club services.
- Coordinate client meetings and site visits as required; arrange mutually agreeable times for clients to view venue and discuss options pertaining to their event.
- Draft layouts, propose event sequences, coordinate set up and access for all guests.
- Book and confirm all required services including, but not limited to spaces, technical equipment/support.
- Host/Conduct weekly meetings as required to share event information with the operations team.
- Direct internal and external partners in service delivery, troubleshoot and liaise with client/service suppliers during event.
- Support special events such as Easter, Mother’s Day, Father’s Day etc.
- Maintain client information and confidentiality including financial data
- Attend and manage all major on-site events as required; liaise and communicate appropriately with a range of members and their guests during events.
- Follow on-site allergen guidelines
Sales and Marketing Functions
- Develop and implement sales strategies in collaboration with the Catering Director to drive revenue growth and achieve sales targets
- Develop and maintain marketing assets for events & dining operations such as traditional print, email, and digital campaigns and marketing strategies.
- Be knowledgeable of menu offerings/packages, and create and customize menus based on client preferences and dietary restrictions
- Participate in networking events, and industry forums to represent the brand and offerings to identify and pursue NEW business through prospecting and lead generation.
- Understand the special events market competition and service; expand revenue through ongoing sales lead activity in collaboration with events services department.
- Develop event proposals to include estimated costs for services and payment options.
- Correspond with client through email, telephone or in person to discuss and plan events
- Build and maintain relationships with clients to drive repeat business and referrals
- Provide quotes for events and catering packages.
- Monitor event files, prepare invoices and follow up on required payments/invoicing and sales reconciliation.
- Provide exceptional customer service throughout the sales process, from initial inquiry to post-event follow-up

Qualifications

- Post-secondary degree or diploma in culinary, hospitality or business is an asset
- Minimum 2 year’s experience in a similar role
- Prior experience in a supervisory role preferred
- Previous experience in events, hospitality and catering
- Available to work event-based hours that include evenings and weekends
- Must have excellent communications skills
- Complete Food Handlers and Smart Serve Certifications as required
- Requires occasional lifting, carrying, pushing
- Must be available to work flexible hours including evenings and weekends
This role may have physical demands including, but not limited to, lifting, bending, pushing, pulling and/or extended walking and standing. This role may also require uniforms and/or usage of Personal Protective equipment (PPE).
