We are currently looking for an Accounting & Purchasing Coordinator to join our expanding team.

About The Role
Reporting to the Accounting Lead, the Accounting & Purchasing Coordinator is a detail-driven problem solver who helps keep our financial operations running smoothly and our programs supplied and supported by managing day-to-day accounting functions.
With care, precision, and a proactive mindset, this role collaborates closely with the finance team, program leads, and vendor partners to ensure accuracy in our books, timeliness in our payments, and efficiency in our purchasing. Whether processing invoices, tracking expense codes, or sourcing last-minute materials, this role plays a vital part in supporting the seamless delivery of great work.
As our Accounting & Purchasing Coordinator, you will:
- Process accounts payable and receivable with accuracy and timeliness, supporting smooth day-to-day financial operations.
- Reconcile expenses, manage vendor payments, and maintain accounting records in QuickBooks and internal systems.
- Track program cash flow, maintain docket reports, and support the Finance team with month-end and audit preparation.
- Coordinate purchasing for office and event needs, sourcing supplies, reviewing Purchase Orders, and liaising with vendors for quotes, timelines, and delivery.
- Support cross-functional teams by maintaining organized financial documentation, tracking program purchases, and ensuring accurate cost allocations throughout the project lifecycle.

The ideal candidate for this role will have:
Skills/Strengths
- High level of accuracy and attention to detail in financial processes and documentation.
- Strong working knowledge of QuickBooks Online and Microsoft Excel.
- Highly organized and able to manage competing priorities and deadlines.
- Clear, professional, and timely communication skills, both internally and with vendors.
- Proactive mindset with a knack for solving problems before they escalate.
- Comfortable working independently and collaboratively in a fast-paced, high-volume environment.
- Strong ability to source, negotiate, manage, track, and reconcile product purchases across multiple programs and departments.
Education/Experience
- Post-secondary degree in Accounting
- Minimum 3 years of experience in an accounting coordinator or equivalent role, with a focus on full cycle accounting including knowledge of HST and other provincial taxes.
- Minimum 1 year experience working with Quickbooks in a business environment
- Familiarity with Ariba (SAP), Float, and online vendor portals is an asset.
- Previous experience with purchasing or procurement in an agency, production, or events-based environment.
- Experience supporting hybrid or cross-functional teams preferred.
