THE JOB: Administrative Assistant, Members’ Products & Services

The starting salary range falls within the minimum to mid-point of the salary range.

Starting Salary Range: $46,160 - $57,700

Reporting to the Advisory Services Manager, the Administrative Assistant, MPS is responsible for providing administrative support to the Insurance team. This role will respond to a variety of inquiries for the team from both internal and external stakeholders and requires the Administrative Assistant to provide excellent customer service and timely, efficient follow-up. Curiosity and problem solving skills are key in order to effectively triage incoming requests.

In addition, the Administrative Assistant helps with scheduling member appointments with our team of Insurance Advisors and preparing for advisor events and presentations. We use a variety of software programs in the course of our work – versatility in learning new software is important.

Key areas of responsibilities include:

  • Schedule meetings with members and Insurance Advisors. Manage online appointment bookings and follow-up with members by phone or email, as required.
  • Respond to insurance summary requests from referral partners in an efficient and courteous manner
  • Run regular member report for client touch-points and follow-up appropriately
  • Read email inquiries from the Doctors of BC Service Centre, identify priorities, and distribute or respond as appropriate
  • Assisting with event preparation (preparing forms, booth equipment, brochures, promotional material, shipping)
  • Saving client documentation into client relationship database and update client records
  • Ordering promotional materials and monitoring stock
  • Make travel and accommodation arrangements for advisors
  • Perform general office duties as required.

WHAT YOU BRING

  • Superior customer service skills and proven ability to communicate effectively by email, phone or in-person
  • Excellent computer skills using Outlook, Word, Excel, CRM and appointment booking software; able to learn many different software programs.
  • Outstanding attention to detail when setting up and maintaining electronic files.
  • Organized, resourceful and efficient.
  • Ability to problem solve independently and a curiosity to investigate issues thoroughly.
  • Excellent judgment in setting priorities, identifying issues and determining action required when working under pressure and deadlines.
  • Demonstrated ability to work independently and as a member of the team.
  • Knowledge of life insurance or health insurance an asset.
