The Position We are growing and looking for an experienced Payroll Specialist to join our Payroll and Benefits team. This position will focus on ensuring accurate and timely processing of 700-plus employee's compensation across Alberta, British Columbia, and Ontario. This role oversees payroll operations for diverse employee groups, including multiple unions and shifts spanning from 8 to 24 hours per day. This dedicated payroll professional is equipped with meticulous attention to detail and in-depth knowledge of provincial labor laws, employment standards and will be instrumental in maintaining compliance and delivering seamless payroll services.

Our Payroll and Benefits team is proactive, detail-oriented, professional and entrusted with coordinating daily payroll and benefits components including status changes, onboarding and offboarding. This role is instrumental in maintaining smooth and efficient processes that support our Human Resources’ (HR) payroll and benefits components. Working closely with the greater HR team and front-line stakeholders, you will be responsible for maintaining compliance with company policies and procedures while delivering high-quality service to employees. With a proactive, solution focused approach, the role emphasizes clear communication with stakeholders and a profound understanding of HR best practices, while maintaining a steadfast commitment to delivering exceptional customer service.

Schedule One (1) permanent full-time position with a weekly schedule of 40 hours.

  • Monday through Friday, 0800-1600

The position is based out of the Support Staff office in Maple Ridge, BC.

In Your Role You Will

  • Process bi-weekly payroll for employees in Alberta, British Columbia, and Ontario, ensuring accuracy and adherence to payroll deadlines
  • Verify and input employee record updates, changes, terminations, salary adjustments, withholdings, garnishments, benefits, deductions and other special payroll actions
  • Manage and resolve payroll discrepancies and issues promptly and effectively
  • Coordinate with HR, IT and Finance teams to ensure accurate employee data management in our Human Resources Information System (HRIS), Dayforce
  • Stay updated on provincial payroll legislation and labor laws and employment standards in Alberta, British Columbia, and Ontario to ensure compliance
  • Prepare and submit payroll-related reports, including tax filings, WCB (Workers' Compensation Board) reports, and union dues calculations
  • Respond to employee inquiries regarding payroll matters, including pay discrepancies, deductions, and tax withholdings
  • Support HR initiatives and programs related to payroll and benefits improvements and collective agreement changes
  • Collaborate with the HRIS Specialist to resolve system issues and ensure seamless payroll processing
  • Manage month-end and year-end payroll activities, including preparation of T4s, ROEs (Records of Employment), and other statutory reporting requirements
  • Uphold high standards of customer service excellence in all interactions and deliverables
  • Coordinate and administer employee benefits programs such as health insurance, dental and vision plans, life insurance, retirement plans, Municipal Pension Plans (MPP) and other voluntary benefits
  • Coordinate enrollments, plan renewals, contract premium updates, ensuring compliance with payroll deadlines
  • Serve as the primary point of contact for employee inquiries regarding benefits coverage, eligibility, claims, and related issues
  • Collaborate with multiple benefits providers and brokers to resolve issues and ensure accurate administration of benefits programs
  • Prepare and remit monthly remittance forms, such as benefits, MPP, WCB and union dues
  • Prior to confirmation of employment, all applicants must provide a copy of a current Criminal Record Check and/or Government Screening Letter. These checks vary depending on province and sector and will be communicated by the Program Hiring Team.

As An Ideal Candidate You Possess

  • 3-5 years comprehensive working knowledge and understanding of full-cycle Canadian payroll and benefits practices
  • Proficient in Dayforce (HRIS) and Microsoft Office (Word, Excel, Outlook, SharePoint)
  • Payroll Leadership Professional (PLP) or Payroll Compliance Professional (PCP) designation or working towards one is considered a strong asset
  • Strong knowledge of payroll processes, policies, and employment laws
  • Strong working experience and knowledge of Municipal Pension Plan (MPP) in BC
  • Experience working with unionized payroll (multiple unions is an asset) as well as, experience with salaried and hourly employees
  • Excellent interpersonal and communication skills, with the ability to interact effectively at all levels of the organization
  • Detail-oriented and able to prioritize and manage multiple tasks in a fast-paced environment
  • Commitment to maintaining confidentiality and handling sensitive information with discretion
