As a Business Support Specialist, you will support Fleet & Inventory operations by driving technology-enabled solutions, data-driven process improvements, and cross-departmental collaboration. Acting as a key liaison between IT, operational teams, and internal and external interested and impacted parties, you will lead system optimization efforts, support enterprise platforms like M5, and contribute to corporate initiatives such as the Flex Fleet Corporate Car Share Program and EV charging infrastructure planning & implementation. Your work will align with the City's sustainability goals while improving service efficiency and vehicle accessibility across departments. Primary duties include:
- Investigate system issues to uncover underlying causes, collaborate with IT to forecast and plan for future needs, and formulate and deploy effective corrective measures.
- Create and deliver both routine and special reports, such as M5-based reports and dashboards, to guide Fleet Services decision-making on resourcing, while working closely with IT to ensure necessary system integrations.
- Examine current processes, verify exception report data, identify errors or gaps, and evaluate emerging technologies to pinpoint process enhancements that drive operational efficiency and effectiveness.
- Partner with IT and various business units to spearhead ongoing improvement efforts, define clear business and project needs, draft comprehensive project plans, suggest innovative solutions, and oversee the successful implementation of these initiatives.
- Research best practices and technologies, identify gaps in processes and procedures, and risk management.
- Contribute to the development of Power Platform applications that enable users by digitizing and streamlining processes, collecting data, and solving specific organizational challenges.
- Collaborate with the data owners to design and implement the defects management / Intake queue.
Qualifications
- A completed 2 year diploma in IT or a related field plus at least 5 years of related experience; OR
- A degree in Science, Commerce, Information Systems, or a related field plus at least 3 years of related experience.
- Previous experience in generating reports using Excel, Crystal Reports, Web Intelligence and PowerBI to develop custom reports is required.
- Experience with project management and FleetFocus M5 will be considered assets.
- Experience with MS Power Platform development would also be considered an asset.
- Experience with defects management software such as Remedy by BMC Software would also be considered an asset.
- Success in this position requires demonstrated business communication skills, research skills and the ability to collaborate with technical and business specialists.

Workstyle: This position may be eligible to work from home for at least part of the time as one of several flexible work options available to City employees. These arrangements depend on the operational requirements of the role, employee suitability, and are subject to change based on operational needs and corporate direction.

Hours of work: Standard 35-hour work week
