We are looking for a Sales Office Administrator to help grow our business and contribute to our future.

This opportunity plays a critical role in supporting the efficient sale and transfer of repossessed vehicles across Canada, with a particular focus on Ontario. This position is responsible for accurately logging and tracking vehicle inventory, managing key sale information such as legal sale dates and reserve values, and ensuring compliance with ownership requirements through the Ministry of Transportation of Ontario. Acting as a central point of coordination between the Recovery department, auctions, and internal teams, the Sales Office Administrator ensures that all vehicles are properly documented, appraised, and prepared for sale, while maintaining accuracy, timeliness, and strong attention to detail.

Key Responsibilities

  • Inputting data from the Recovery department, and managing a file’s status as it progresses towards its legal sale date
  • Co-ordinating with auctions across Canada to obtain status updates on aging inventory
  • Responsible for filling out ownership applications with the Ministry of Transportation of Ontario
  • Responsible for obtaining ownerships for all vehicles sold through Ontario auctions
  • Responsible for sending ownerships via mail to auctions across Ontario
  • Updating daily blackbook values on all sold vehicles
  • Updating blackbook values on all units appraised 60+ days prior and updating those values / communicating new “reserve” values to auctions
  • Administrative work for all Ontario vehicles in order to produce ownerships in order for those vehicles to sell
  • Identifying client specific files (as part of client requirements) and compiling that information in an organized manner to communicate with national appraisers
  • Advertising “in sale” units to www.repolot.com to promote on site sales
  • Research market values / comparable values for all units posted to our website to ensure pricing competitiveness
  • Distributing lien releases (post-sale requirements) to auctions across Canada to finalize sales
  • Following up with auctions on sales with overdue proceeds which need to be remitted to ESC
  • Miscellaneous office duties / reports as requested

Position Requirements

  • General office experience (1-2 years)
  • High School diploma, or equivalent education and some post-secondary education would be a definite asset.
  • Ability to comfortably use a computer, and Microsoft Office applications
  • Ability to identify “problem files” and those problem files to management positions
  • Previous repossession experience is an asset.
