Event & Meeting Coordinator (Contract)

Exhibition Place is Canada’s largest entertainment venue, attracting over 5.5 million visitors a year. The 192-acre site is an integral component of Toronto and Ontario’s economy, particularly with respect to conventions, sport, festivals, recreation, culture and tourism. Located at Exhibition Place is the award-winning Enercare Centre, Canada’s largest exhibition and convention centre which is now LEED Platinum certified, and Beanfield Centre conference venue which is LEED Silver certified. Since 2004, Exhibition Place has undertaken an environmental stewardship initiative, entitled GREENSmart; which includes the promotion of sustainable development, environmental initiatives and leading edge green technologies and practices across the site. Our environmental initiatives have resulted in award winning recognition across North America, such as the Platinum Waste Minimization Award from the Recycling Council of Canada and have established Exhibition Place as a world leader in energy-efficient technologies.
This is a contract position from: November 1, 2025 - July 31, 2026
What can I expect to do in this role?
Reporting to the Event Services Manager, the Position will assist with all activities related to events & meetings within all Exhibition Place venues.
What can I expect to do in this role?
- Support client requirements for small scope event & meetings including internal meetings.
- Assist Event & Meeting Coordinators on large scope client portfolios in a supporting capacity.
- Assist clients in navigating venue rules, governance, and mandatory client submissions.
- Assist with planning and preparing function arrangements, estimates for services, and review service charges. Data entry into the Momentous event planning software.
- Assist with marketing rental items, equipment, and venue services.
- Verify the necessary documents are received for initial review and approval by venue leads or subject experts (floor plans, building permits, regulations).
- Assist Accounting Services with client charges review, client billings, and services reconciliation.
- Assist with on-site inspections and tours of licensed spaces with clients.
- Liaise with internal/external providers and guide the delivery of their services within venue rules.
- Assist clients with compliance of fire code, building code, and building regulations.
- In conjunction with Event Services Manager or Senior Event & Meeting Coordinator, assist with event related decisions such as evacuation, door entry delays, fire & life safety.
- Prepare pre & post documentation, assess venue damages, and prepare reports for management.
- Assist clients with venue occupancy from move-in to move-out ensuring compliance with license agreement and other requirements governing the venues occupation.
- Perform other duties as assigned.
How do I qualify?
- Experience utilizing customer, facility, or project management software (e.g. Momentus EBMS, Salesforce, etc.). Working knowledge of facility management software is an asset.
- Demonstrated knowledge and ability to interpret collective agreements, and applicable codes, standards, guidelines and government legislation specifically the Occupational Health & Safety Act, Ontario Fire Code, Ontario Building Code, and Workplace Hazardous Material Information System.
- Certificate or post-secondary credential in Facility or Event Management, another discipline pertinent to the job function, or equivalent combination of education and experience.
- Experience dealing with management of events or complex projects.
- Experience in directing staff in an event or entertainment environment.
- Experience managing a diverse portfolio of client portfolios simultaneously.
- High Proficiency utilizing modern software packages (e.g., Office 365, Momentus, PDF Editors).
- Valid full G Class Ontario driver’s license in good standing is considered an asset.
- Strong interpersonal skills with the ability to communicate effectively both verbally and written at all organizational levels.
- Proven skills building healthy relationships with clients and internal stakeholders.
- Ability to work days, evenings and weekends including holidays, as required to support operational requirements. Our client portfolio utilizes our buildings on a year round basis.
