Human Resources Coordinator– Job Description
Primary Purpose
The Human Resources Coordinator supports the Human Resources team by assisting with the administration and coordination of HR policies, programs, and processes. This role provides operational support across recruitment, onboarding, compliance tracking, employee records management, HR reporting, benefits administration, and general employee inquiries.
The Human Resources Coordinator helps ensure HR processes are efficient, compliant, and well-organized while supporting employees and operational leaders.
The Human Resources Coordinator is expected to embrace, demonstrate, and practice Pitbull’s Core Values in their daily work activities.

Primary Functions
HR Administration & Systems
- Maintains accurate employee records across HR systems, including the ERP (IFS) and ATS/Payroll systems such as UKG.
- Assists with maintaining employee files and documentation within the HRIS.
- Processes employee data updates including hires, status changes, and terminations.
- Coordinates system access and HR documentation for new employees.
- Ensures employee compliance documentation is complete and up to date.
Recruitment & Workforce Pipeline Support
- Provides administrative support for recruitment activities including job postings, resume screening, scheduling interviews, and coordinating candidate communication.
- Assists with candidate pre-screening and reference checks as required.
- Maintains workforce pipeline and talent pools.
- Supports recruitment projects and hiring initiatives as requested.
Employee Onboarding & Offboarding
- Coordinates onboarding activities for both office and field employees.
- Prepares and distributes employment agreements, onboarding documentation, and orientation materials.
- Ensures all onboarding compliance requirements are completed, including safety tickets, certifications, and forms.
- Assists with employee offboarding processes including documentation updates and system changes.
Employee Compliance & Documentation
- Tracks employee compliance requirements including driver’s abstracts, drug and alcohol testing, safety certifications, and required training records.
- Coordinates required testing and documentation with third-party providers as needed.
- Monitors employee training and certification completion and provides reports to management as required.
HR Reporting & Data Tracking
- Tracks relevant HR data and metrics to support HR initiatives and workforce planning.
- Assists with preparing HR reports including workforce status, retention, turnover, and compliance tracking.
- Supports HR program measurement by maintaining data used for HR scorecards and reports.
Benefits & HR Programs Administration
- Provides administrative support for employee benefits enrollment and changes.
- Assists with coordinating employee participation in the RRSP program.
- Supports compensation and benefits documentation as required.
Employee Support
- Responds to employee inquiries regarding HR processes, policies, benefits, and general employment questions.
- Provides administrative support to the HR Business Partner and Director, HR as required.
- Maintains a strong service orientation within the HR team to support employees and operational leaders.
Department Participation / Activities
- Participates in HR team meetings and assists with preparing meeting notes and documentation.
- Coordinates HR department meetings and administrative activities at the Edmonton office.
- Assists with organizing HR events such as career fairs, training sessions, SATO graduations, and open houses.
- Supports HR policy updates and documentation as required.
Personal Management
- Submits vacation requests to the Director, HR with sufficient notice to avoid disruptions to HR activities.
- Provides expense reports for approval of work-related expense reimbursements.
- Maintains open communication with HR team members, managers, and employees.
- Demonstrates Pitbull’s corporate values and HR philosophy in daily interactions.
- Promotes collaboration across departments and supports overall organizational success.
- Performs other duties as assigned.
Qualifications
- Post-secondary education in Human Resources, Business Administration, or related field preferred.
- 3+ years of experience in an HR administrative or HR support role.
- Experience with HR systems such as IFS and UKG is an asset.
- Strong organizational, administrative, and communication skills.
- Ability to manage confidential information with discretion.
- High level of accuracy and attention to detail when managing employee records, HR systems, and compliance documentation.
- Strong proficiency in Microsoft Office 365, including Word, Excel, Outlook, and Teams, with the ability to format professional documents, maintain spreadsheets, and support HR reporting and documentation.
