What the job involves
- Project Coordinators keep the operational engine running. You’ll make sure the details and logistics that support great outcomes are consistently managed
- This role brings structure, consistency, and operational rigor to every stage of a project. From setting up tools and coordinating resources, to tracking financials and wrapping up handovers, you’ll be key to ensuring projects run smoothly and teams stay supported
- Set up project tools, folders, templates, and permissions (Figma, Jira, Notion, Miro)
- Schedule recurring meetings and project ceremonies
- Confirm resourcing plans, track PTO, and flag gaps to leadership
- Review timesheets and update Retainer trackers with actuals
- Support contractor onboarding/offboarding and manage travel logistics
- Contribute to project reporting and status updates
- Facilitate retrospectives and track action items
- Prepare completion reports, file repositories, and archive project assets
- Support marketing and internal teams with case study content
