Position Overview
General Fusion is seeking a highly organized and proactive Executive Assistant to primarily support the CEO and provide baseline support to the other five members of the Executive Leadership Team (ELT). This hybrid position, based at our Richmond, BC headquarters, plays a critical role in helping our ELT be efficient and effective.
As a central point of coordination, the Executive Assistant will manage calendars, coordinate meetings and travel, prepare materials, and ensure efficient communication and workflow across the ELT and be the interface with our Board members.
Key Responsibilities
- Provide proactive, confidential, and strategic administrative support to the CEO, including managing calendars, interfacing with Board members, scheduling meetings, coordinating travel, and preparing correspondence.
- Provide administrative support (as needed) to the other five members of the ELT, including assisting with calendar management, travel coordination, and expense reporting.
- Act as a key liaison between the Executive Team and internal/external stakeholders.
- Manage planning, logistics and scheduling for Board of Directors meetings.
- Prioritize and manage multiple requests and shifting priorities in a fast-paced, evolving environment.
- Coordinate and prepare materials for meetings, including agendas, presentations, and minutes. Ensuring accuracy and professionalism.
- Anticipate executive needs and proactively address logistical and scheduling challenges.
- Handle sensitive and confidential information with a high degree of discretion and professionalism.
- Support the planning and execution of off-sites, leadership meetings, and corporate events.
- Provide backup administrative support to other team members when needed.
Requirements:
- Post-secondary education in Business Administration or a related field.
- Minimum 7 years of experience supporting executives within a dynamic and fast-paced organization.
- Advanced organizational, communication, and interpersonal skills.
- Proficiency with Microsoft Office Suite and digital collaboration tools (e.g., MS Teams, Slack, SharePoint).
- Strong judgment, initiative, and ability to operate independently with minimal supervision.
- Proven ability to manage sensitive information with confidentiality and professionalism.
- Comfortable balancing competing priorities and deadlines with grace and efficiency.
The typical hiring range for this position is $100,000 – 115,000. General Fusion considers several factors when determining total compensation, including job-specific or highly specialized knowledge, skills, and experience, proficiency, job location, and internal equity.
