We’re looking for an Executive Administrator for our client, the Association of Architects of Alberta (AAA), a professional regulatory organization.
The Association of Architects of Alberta plays a vital role in regulating the practice of architecture in Alberta while protecting the public interest. As a respected, member-driven organization, AAA is committed to excellence in governance, professional standards, accountability, and service. The Executive Administrator will provide high-level administrative and operational support to the Executive Director, ensuring the efficient and effective functioning of the leadership office while supporting key governance and organizational initiatives.

The regulatory body responsible for governing the practice of architecture in Alberta and protecting the public interest A respected, member-driven organization committed to professional excellence, ethical standards, and accountability Provides a collaborative, purpose-driven environment where integrity, service excellence, and strong governance are highly valued Executive Administrator Responsibilities: Provide comprehensive administrative support to the Executive Director, including complex calendar management, meeting coordination, and correspondence Prepare and edit documents, reports, presentations, and executive communications with a high degree of accuracy and professionalism Coordinate Board and committee meetings, including agenda preparation, minute-taking, distribution of materials, and follow-up on action items Act as a liaison between the Executive Director, Board members, internal teams, and external stakeholders Handle sensitive and confidential information with discretion, professionalism, and sound judgment Support special projects, organizational initiatives, and events, ensuring timelines and deliverables are met Maintain organized records and recommend improvements to administrative processes and operational efficiencies The Successful Candidate Has: 5+ years of experience in a senior administrative, executive assistant, or executive support capacity Post-secondary education in Business Administration or a related field, or an equivalent combination of education and experience Proven experience supporting senior leadership, with direct exposure to Board governance activities required Experience within a non-profit, association, regulatory, or professional services environment considered an asset Exceptional organizational, prioritization, and time management skills with the ability to manage multiple competing priorities Strong written and verbal communication skills with outstanding attention to detail A professional, proactive, and adaptable approach with the ability to work independently and anticipate leadership needs Willingness and ability to travel to Calgary approximately every second month Compensation and Benefits: The discussed salary range is $70,000 – $80,000 depending on experience Candidates with additional experience and higher compensation expectations may also be considered Comprehensive benefits package Three weeks of vacation Free parking Generous Health Spending Account Full-time, in-office work environment based in South Edmonton Direct exposure to executive leadership and Board governance, providing excellent professional development opportunities Candidates must be legally authorized to work in Canada.
