Primary Responsibilities & Attitude
We are currently seeking a Corporate Trust Associate to join our team. The successful candidate will be based in Toronto.
The Corporate Trust Associate will play a key administrative role within our Corporate Trust division. They will report to the Director, Corporate Trust and be responsible for supporting trust appointments and engagements, including coordinating documentation, ensuring compliance, and supporting client communications with management, legal counsel, and securityholders. The role requires processing a variety of transaction types efficiently and accurately, while maintaining a strong understanding of operational procedures.
The Corporate Trust Associate will be detail-oriented, highly organized, and confident working both independently and collaboratively. The ideal candidate is proactive, results-driven, highly administrative, and someone who thrives in a structured environment.
Primary Responsibilities
Director Support
Assist in managing and administering the everyday workflow of the Corporate Trust division, ensuring all administrative tasks are completed accurately and on time. Organize and maintain detailed records of transaction documentation, correspondence, and internal approvals. Coordinate with internal departments, including finance, to schedule and confirm incoming/outgoing wires, ensuring all supporting documents are present.
Compliance & Onboarding Support
Liaise with compliance and legal teams to ensure all regulatory requirements are met and documented.
Securities Administration
Communicate with our clients, as well as their counsel and securityholders on a regular basis Prepare and review documentation related to securities transactions, ensuring accuracy and compliance with governing agreements.
Backoffice Maintenance
Maintain comprehensive and organized records under various corporate trust appointments, including ongoing documentation and compliance requirements. Assist in the issuance and administration of securities, including processing warrant exercises, note conversions, and interest payments. Support the preparation and reconciliation of month-end corporate trust billing, ensuring accuracy and timely submission. Perform regular audits of internal records and systems to ensure data integrity and compliance with internal controls. Provide general administrative support including document formatting, data entry, file management, and responding to internal and external inquiries. Take the initiative in identifying process improvements and supporting the implementation of administrative best practices. Other duties as required.
Skills And Experience
University degree or diploma (preferred, not required)
Knowledge of Corporate Trust or experience as a Securities paralegal is an asset Experience in finance, banking or trust companies is an asset Ability to support a team within a busy work environment with changing priorities Ability to work as a team and independently Pro-active attitude and “how can I help?” perspective
