About the role

The Program Assistant (PA) provides high quality administrative and coordination support to physician issue management and professional practice processes. Core responsibilities include supporting physician reviews, commendations, and curtailment activities by maintaining accurate and confidential documentation, tracking milestones, and assisting with reviews, investigations, reporting, and regulatory or legal information requests. The PA also supports physician focused communications, including targeted emails, digests, and newsletters, translating complex information into clear, timely, and professional messaging aligned with organizational priorities and values. Success in this role requires strong client service skills, sound judgment, and the ability to effectively manage competing priorities in a fast paced environment. The PA demonstrates professionalism, discretion, and tact in all interactions, maintaining confidentiality and credibility across all levels of the organization. This role requires critical thinking, initiative, adaptability, and strong office administration expertise, while consistently representing Covenant Health with integrity and a polished, professional presence. Position details: This position is based at the Edmonton General and requires regular in office presence at Covenant Health sites. Eligibility for a hybrid work arrangement (three days in office) may be considered following successful completion of probation. This is a non unionized position.

Required Qualifications:

Completion of post‑secondary coursework or a certificate/diploma in office administration, business administration, medical administration, or a related field; an equivalent combination of education and experience will be considered. Minimum of three (3) years of progressively responsible administrative experience, preferably in a healthcare or complex organizational environment.

Additional Required Qualifications:

Advanced proficiency in MS Office (Word, Excel, Access, Visio, PowerPoint, Adobe Writer), Zoom, Teams, and SharePoint design and management. Skilled in database and record management. Exceptional attention to detail in formatting, grammar, syntax, and proofreading. Experienced in committee support, minute-taking, and event planning. Maintains strict confidentiality of sensitive information. Strong analytical and problem-solving abilities, with sound judgment and decision-making skills. Able to work independently under pressure and meet tight deadlines without compromising quality. Demonstrates effective interpersonal, public relations, writing, and organizational skills, with clear and concise communication.

Preferred Qualifications:

Business Writing Training. Knowledgeable of policies and procedures relating to the gathering, retention and release of information. Knowledge of HIA, FOIP and other related legislation. Experience with databases and systems management. Project support or project management experience is desired.
