Our Management Consulting Practice is growing due to client demand across North America & Europe, and we are interested in hiring a Human Resources Manager that can help us through the next phase of the firm’s growth and lead with clarity.
Chief of Staff
The Chief of Staff position is based 5 days a week at our offices in Downtown George Street, Toronto and will play a key role in leading, driving and managing office and administrative efficiency to support a rapidly growing global organization.
Our team is under just 100 employees at present, we recently established our European head office, and we continue to grow headcount and customer projects across North America. This role is for a detail-oriented “hands on leader” that will report to our President.
The position will focus succinctly on executing various high-complexity, often volatile, uncertain tasks and projects. The role will be counted on to 'see around corners' and 'spot problems well before they happen' resolving issues proactively.
Process Improvement
- Implement procedures and standards for all head office functions to optimize and clarify work expectations.
- Optimize cost, speed, service and quality of back-office functions and capabilities.
- Major Meeting Execution:
- -Own the Monthly Management Meeting Process and Cadence
- -Own the Quarterly Board Meeting Process and coordinate board-level presentations, financial statements, committee-related tasks and keep an up-to-date action log.
- -Own the production of the Monthly Management Report, ensuring its accuracy.
- -Assist in preparing the annual Business Strategic Plan in July of each year.
Crisis Management and Risk Management
- Responsible for managing the execution of staff transitions, any cyber incident responses, security issues, sensitive minor projects, or business risks.
- Support the timely resolution of IT tickets and troubleshooting.
Major and Minor Project Management
- Coordinate such entrepreneurial projects such as implementing a code of ethics, technology integration projects, charitable projects, managerial data analysis, marketing targeting and informatics, data analysis, high-risk background checks, storage optimization, business record auditing, litigation support, visas and work permitting, preparation of high-ambiguity employment offer letters, and other sensitive or high-risk documentation.
- Performs other duties and ad hoc projects as assigned.
Required Skills
- Bachelor's Degree or College Diploma in Administration, Business, or related discipline.
- 10 years in a managerial capacity, in any or combination of office administration, business, or executive support e.g. Executive Assistant.
- Experience in solving ultra-complex problems and executing minor and major projects with flawless results and minimal supervision.
- Experience in a consulting firm or professional services environment will be considered an asset.
- Exceptional written and verbal communication skills.
- Superior numeracy skills.
- Experienced and proficient in using a variety of telecommunication platforms (i.e., conference calls, video conferencing, web meetings, etc.).
- High level of accuracy, ability to detect inconsistencies and errors.
- Strong organizational skills, proven ability to effectively multitask.
- High degree of initiative, ability to work independently and with the team.
- Proven ability to handle sensitive and confidential matters with discretion.
This role will suit a seasoned candidate that possesses the ability to influence, delegate, manage staff, execute plans, manage risk, project manage, run head office and prepare the Business Strategic Plan and deliver.
