The Student Association at BCIT is a leading non-profit student-led organization committed to enhancing student life through advocacy and providing student-centered, responsive, and pro-active services. Considered one of the leading student associations in the province, we live our mission and are student-focused in all that we do. Students lead our organization and govern the affairs of the BCITSA. Our Board of Directors is composed of 12 elected Student Executives and Student Councilors from each of the different Schools at BCIT.

The Opportunity
The Events Coordinator is responsible for the coordination of the Events Portfolio in relation to preparation, booking, and logistics of all Student Association internal events in collaboration with the Event Manager. You will assist in room bookings, tech support, equipment, set ups, tear down, and volunteer at events across all BCIT campuses. You will field requests for events and oversee the yearly calendar in collaboration with the Event Manager. An integral element of the Events Department is engagement with students during and prior to events for promotion and to build enthusiasm. You will also evaluate each event regarding logistics and suggest improvements. Finally, you collaborate to ensure the successful execution of clubs and other events, and to create procedural manuals for common event types. The Events Coordinator incorporates BCITSA’s equity, diversity and inclusion values into their work and professional relationships.
What You Will Do
EVENT EXECUTION
- Coordinate events within the respective portfolio from beginning-to-end to ensure their successful execution
- Support SA departments in pre, during and post event logistics
- Promote events by speaking with students, handing out flyers, delivering posters, and other activities as directed and required
- Set up and take down events, including the stage, chairs, tables, piping and draping, and other
- Represent the SA at a variety of events and student life activities
- Ensure proper handling of all equipment
- Provide tech support for virtual and hybrid events
- Order and set up necessary equipment, including AV and internet access
- Liaise with event-related services to ensure their timely delivery and execution, including catering and security
- Work with internal and external event contacts to ensure day-of needs are met and exceeded
- Provide guidance and direction to event volunteers
- Oversee logistics for external room rentals
- Host, participate in, or MC events as required and directed to ensure effective engagement
EVENTS EDUCATION
- Maintain a thorough knowledge of all BCITSA events to answer questions and coordinate events
- Maintain up-to-date knowledge on various aspects of events including catering, room booking and audio-visual
LOGISTICS
- Evaluate each event in terms of logistics and make recommendations for improvements
- Collaborate with Event Manager to implement improvements to logistics processes
- Organize and maintain cleanliness of storage rooms, study hall and Great Hall
- Maintain up-to-date information on inventory on event equipment
- Field requests for BCITSA spaces for events and input into calendar in collaboration with Event Manager
- Maintain general cleanliness of the Great Hall, especially as it relates to seating arrangements
- Assist in sourcing equipment, props and other materials and items
- Assist in minor maintenance of SA equipment
RELATIONSHIP, NETWORKING & COMMUNICATION
- Manage and cultivate authentic relationships with all staff, students, and key internal and external stakeholders
- Attend internal meetings, committees, and both formal & ad hoc functions, as required to increase opportunities for the department and association as a whole
- Coordinate communications between all related parties for respective programs
- Liaise with appropriate BCIT departments to ensure proper delivery of equipment and services

You are an organized and detail-oriented professional with a strong ability to coordinate multiple priorities in a dynamic environment. You bring excellent communication and collaboration skills, allowing you to work effectively with colleagues, stakeholders, and partners to deliver successful events. With a proactive and solutions-focused mindset, you take initiative, anticipate needs, and ensure all logistical details are managed efficiently. Your commitment to high-quality service and your ability to adapt to evolving requirements make you a key contributor to the success of the events team.
EDUCATION & EXPERIENCE
- Bachelor’s Degree or Diploma in related field
- Two to three years of relevant experience
KNOWELDGE & ABILITIES
- Intermediate proficiency using Windows computers
- Intermediate proficiency using MS Office Suite
REQUIREMENTS
- Safety considerations (must be able to lift up to 50lbs, stand for long periods of time etc.)
- Class 5 driver’s license
- Travel expectations – must be able to travel to all BCIT campuses including Burnaby, DTC, ATC, AIC and BMC
