About the role
Acting as the first point of contact for the CEO, the Personal Assistant is adept at working effectively with a wide variety of stakeholders inside and outside of the organization with tact, diplomacy and a high level of confidentiality. As a support partner to the CEO, you will be responsible for managing and maintaining the senior executive’s schedules, coordinating and preparing for meetings, preparing and editing various correspondence, coordinating travel arrangements, assisting with budgeting and organizing departmental events.
The ideal candidate will be an energetic individual with a “can-do” attitude who thrives on cultivating a sense of community and positive workplace experiences.
You are a superstar at multitasking and prioritizing daily workloads.
This is a contract position covering a maternity leave.
WHAT YOU’LL OWN

Proactively manage complex calendars with attention to accuracy, detail and allocation of time to promote productivity and recognize the need to re-prioritize as appropriate.

Travel coordination. Create detailed travel itineraries and coordinate with external travel agents/agencies to ensure smooth transitions between time zones; manage international travel processes including passport, visas and any other applicable documentation. Prepare travel for conferences internal and external.

Process expense reports and vendor invoices on a timely basis.

Understand the business priorities and while tracking and driving completion of key deliverables with follow-up on outstanding items.

Successfully complete critical aspects of deliverables with a hands-on approach, including drafting various documents and correspondence, and other tasks that facilitate the CEO’s ability to effectively lead.

Organize/coordinate events within the reporting departments, in accordance with agreed logistics, scope, timelines and budget allocations.

Ad hoc tasks as assigned.
WHAT YOU WILL BRING

Experience as a high-level Personal Assistant in a fast-paced corporate environment;

Strong written and verbal communication skills;
-
High degree of computer skills across MS Office Suite (Word, Excel, Outlook and Power Point);

A positive self-starter attitude with predisposition to take initiative;

Strong follow through and proactive decision-making skills as a certain amount of judgment will be required when prioritizing, completing projects and duties;

Consistently exercise discretion in managing correspondence, information and all matters of confidentiality; escalate issues where appropriate;

Comfortable communicating at all management levels.

The annual base salary for this job ranges from:
$55,000-$65,000
