As a Scheduling Coordinator, you will be responsible for managing the 24/7 schedules of security guards and sergeants to ensure security staffing levels on City sites are maintained. You will create and adjust scheduling rotations, coordinate schedule changes and manage time off requests and overtime in order to ensure scheduling software is up to date for payroll and invoice verification. Primary duties include:

  • Manage 24/7 schedules for the on-call, in house security guards and sergeants on a daily, weekly, monthly and recurring basis to ensure mandatory staffing baselines are met.
  • Cover last minute vacant shifts due to sick time, emergencies, ad hoc changes and event coverage requests.
  • Oversee availability and create monthly schedules for the on-call security guards.
  • Manage time off requests by ensuring proper coverage and approvals are obtained.
  • Work collaboratively with sergeants and section leads to resolve scheduling changes.
  • Communicate with security guards and sergeants regarding scheduling needs and changes.
  • Track and report on overtime and on-call hours, monitor distribution of hours and compliance with collective agreement provisions.
  • Maintain data integrity within the scheduling software to ensure accuracy for payroll and invoicing.
  • Ensure scheduling software is updated with personnel information for security operations.
  • Act as a resource for users of scheduling software.

Qualifications

  • A completed 1 year certificate in Business Administration or a related field and at least 3 years of scheduling experience is required.
  • Intermediate level of proficiency in Microsoft Office (Word, Excel and Outlook) is required.
  • Working knowledge of computerized scheduling software systems (for example TrackTik) will be an asset.
  • A level of familiarity and comfort working with contractual language and interpretation of this language will also be an asset.
  • The ability to work in a dynamically changing environment, with a strong background in administrative processes and procedures.
  • Strong communication skills, the ability to deal effectively with conflicts and resolve issues, work accurately and prioritize.

  • A security clearance will be conducted.

  • Successful applicants must provide proof of qualifications.

Compensation: Pay Grade 7 $36.60 - 48.97 per hour
(2026 Rates)

Days of Work: This position works a 5 day

work week with 1 day off in a 3 week cycle.

Hours of work: Standard 35 hour work week
