This position will provide support for both the Respiratory Therapy Program in Regina and the Mental Health & Addictions Counselling Program (virtual). They may be required to provide support to any programs reporting to the Academic Chair (Paramedic, Pharmacy Technician and Respiratory Technology Programs).

The Office Administrator, Respiratory Therapy and Mental Health & Addictions Counselling Programs provides administrative support to the Academic Chairs and Program Heads for the Respiratory Therapy and Mental Health & Counselling programs. This position provides program information and liaison services for current students, internal and external stakeholders, and potential students.
- Email and phone communications with external stakeholders to answer queries, coordinate meetings, and direct questions.
- Directing/assisting in queries from external/internal parties.
- Create, distribute, collect and report survey/polls required of the program.
- Finding supports for faculty, students and Program heads; answering queries from faculty, students and external stakeholders, troubleshooting minor program issues (equipment, software, meeting times/locations).
- Format and prepare letters/reports for internal and external stakeholders.
- Coordination of events (external stakeholder meetings, staff meetings, student activities and events), ordering food, arranging speakers.
- Managing Infosilem scheduling system, rescheduling curse, meetings with minimal supervision/independently.
- Prepare course, orientation and preceptor manuals for the programs. Collection and preparation of course outlines for submission to Dean’s office.
- Manage web spaces for students and faculty (SharePoint site for faculty, SharePoint site students, Brightspace page for students).
- SharePoint site for students, BrightSpace page for students) – Direct practicum assignments for students and preceptors – Form filling student progress reports, adjustments, withdrawals and coordinating between Program Head, registration and student. – student practicum assignments to available sites – Student attendance in all courses and tracking for attendance policy – Program, consent, medical, practicum, criminal record check with vulnerable sector and training forms required of students – student progress tracking – prepare or tabulate program information in a timely fashion (course outlines, room requests, student timetables, class lists, exam schedules, etc.) – prepare, distribute and follow-up practicum information, agreements, return of agreements, student reports and supervisor evaluations.
- Coordination of workflow – practicum placements with preceptors and students with hospitals and community sites. Internal communication with/between students, faculty, program heads, and Saskatchewan Polytechnic leadership/supports.
- Prepare reports, documents, contracts manuals and letters in accordance with the Privacy Act.

Recognized office administration certificate or an equivalent combination of education, training and experience, including training and/or experience in minute taking.

Four years’ recent, relevant experience in administrative work.

Intermediate computer skills and experience with software packages including but not limited to word processing, spreadsheets, databases, email, video communications and Internet browsers.

Excellent proofreading and editing skills.
-
Effective interpersonal and communication skills, including both oral and written.

Demonstrated organizational and problem-solving skills including the ability to take initiative and to multi-task with minimal direction/supervision.

Proven ability to maintain confidentiality and manage sensitive information.

Ability to function as a team member in an ever changing environment.

Demonstrates valuing diversity.
