About the role

The  Senior Procurement & Fleet Operations Coordinator supports day-to-day procurement and fleet operations across Modern Niagara’s national footprint.

This role is responsible for coordinating purchasing activities, supporting vendor interactions, assisting with pricing and contract coordination, administering vendor rebate programs, and coordinating fleet operations for approximately 500 vehicles.

Reporting to the Procurement & Fleet Manager, this individual works closely with Operations, Finance, and external vendors to ensure procurement and fleet activities are executed efficiently, accurately, and in alignment with business needs.

This role offers opportunity to build capability in vendor management and procurement processes over time, with potential to take on broader responsibilities as experience and proficiency develop.

Key Responsibilities

Procurement & Vendor Management

  • Coordinate procurement activities including RFQs, bidding, sourcing, and purchase order execution
  • Process and track equipment orders, proactively managing delivery risks and timelines
  • Support vendor pricing discussions and contract negotiations, with increasing ownership over time
  • Maintain and strengthen vendor relationships; address service, pricing, or delivery issues
  • Administer and track vendor rebates, credits, and incentive programs
  • Monitor vendor performance across pricing, service levels, and delivery reliability
  • Support implementation of procurement standards, tools, and preferred vendor programs
  • Maintain accurate procurement records, reporting, and documentation
  • Identify opportunities to improve procurement processes and drive efficiencies

Fleet Coordination

  • Coordinate fleet operations for approximately 500 leased vehicles
  • Manage vehicle administration including orders, leases, renewals, and returns
  • Coordinate maintenance, repairs, and service requests with vendors
  • Support accident reporting and insurance coordination processes
  • Maintain fleet data accuracy, including vehicle assignments and system records
  • Administer fuel card program and monitor usage, escalating concerns as needed
  • Support compliance with fleet policies and maintenance programs
  • Serve as a point of contact for fleet-related inquiries (registrations, vehicle orders, GPS/telematics)
  • Administer telematics systems (e.g., Geotab) and fleet tracking
  • Monitor usage trends (fuel, incidents, costs) and flag concerns for review

Cross-Functional Collaboration

  • Partner with Operations to support project needs and urgent equipment requirements
  • Work with Finance on budgeting, cost tracking, and rebate recovery
  • Support leadership on cost-saving initiatives and process improvements

Qualifications

Must Haves

  • 5+ years of experience in procurement, fleet coordination, or a related operational role
  • Experience in construction, HVAC/mechanical, or transportation/logistics environments
  • Strong understanding of procurement processes (RFQs, purchase orders, vendor management)
  • Experience coordinating fleet operations, including leasing, maintenance, and compliance
  • Experience working with vendors on pricing, service issues, and performance tracking
  • Strong analytical and organizational skills, with the ability to manage multiple priorities
  • Strong communication skills and ability to work across teams
  • Experience with fleet systems (e.g., Geotab) and Microsoft Office (Excel in particular)

Nice to Haves

  • Experience with vendor rebates or incentive programs
  • Exposure to procurement contracts or supplier agreements
  • Experience supporting national or multi-division operations
  •  Knowledge of fleet processes such as accident management and insurance coordination
  •  Background in process improvement or standardization
  • Post-secondary education in business, supply chain, or a related field
  • Post-secondary education in supply chain, business, or a related field

This is a new position and the salary range is between $70,000 - $80,000
