Home to Western Canada’s largest dome theatre, the Digital Immersion Gallery, VR experiences, and hands-on learning environments such as Steven’s Lab, Spark brings science to life in unexpected ways. From our robotic dog Flint to Canada’s first robot-coaster, R05iE, and a 15-acre outdoor park exploring the science of the developing brain, Spark is a hub for creativity, discovery, and community connection.

Position Overview

Spark is currently recruiting a permanent, hourly Coordinator, Sales and Events. The role reports directly to Manager, Sales and Events.

The Specialist, Sales and Events will work on planning and executions of facility’s externally booked various events for food and beverage service of events, inventory control, assisting in scheduling, and working directly with various teams while achieving the required outcomes with time spans of up to 1 year.

Key Responsibilities

Sales & Client Management

  • Respond to inbound inquiries via phone and email in a timely, professional manner
  • Prepare and present event estimates and proposals to prospective clients
  • Guide clients through the booking process, answering questions and recommending solutions to meet their needs
  • Identify opportunities to enhance bookings through add-ons, upgrades, and tailored event solutions
  • Maintain accurate and up-to-date client and booking information within event management systems
  • Support the conversion of inquiries into confirmed bookings, contributing to departmental revenue goals

Event Planning & Coordination

  • Own and manage assigned events from post-contract planning through execution and final billing
  • Oversee event logistics including timelines, room setups, vendor coordination, and internal alignment
  • Prepare and maintain event documentation including BEOs, estimates, invoices, and contracts

Event Execution & Operations

  • Act as the on-site lead for events, providing direction, decision-making, and real-time problem solving
  • Collaborate with internal teams including Food & Beverage, AV, Exhibits, Custodial, Security, and Guest Experience
  • Ensure all elements of the guest journey meet Spark’s service standards
  • Proactively identify and resolve issues that may impact guest experience or event success

Team & Operational Support

  • Support inventory coordination and event-related resources as required
  • Contribute to a high-performing, collaborative team environment
  • Ensure compliance with health, safety, and operational policies
  • Other duties as assigned

Qualifications & Experience

  • 2 - 4+ years of experience in event planning, event operations, hospitality, or a client-facing sales role, preferably in a venue environment
  • Experience preparing proposals, estimates, or client-facing event documentation is strongly preferred
  • Demonstrated ability to manage events from inquiry through execution
  • Strong communication and interpersonal skills with a client-focused mindset
  • Proven ability to balance multiple priorities in a fast-paced environment
  • Experience with event management systems (Event Temple, Social Tables, Cvent, Caterease) is an asset
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to take initiative, solve problems, and make decisions independently
  • Flexible schedule with availability to work evenings, weekends, and holidays
  • A positive, solutions-oriented attitude and willingness to learn and adapt
  • A clear criminal background check is required (this will be completed by Spark)
