The opportunity:
Are you an experienced administrative professional with a passion for providing exceptional front-line service? External Relations is looking for an Administrative Assistant - Reception to be the welcoming face of our team and a key player in our day-to-day success. In this dynamic role, you'll ensure the smooth functioning of the reception area and work alongside a collaborative admin team to keep our daily operations on track. If you're organized, adaptable, and thrive in a team-oriented, fast-paced environment, we'd love to hear from you!
The qualifications and experience we’re looking for:
- Completion of a formal training program in applied office skills or in a related discipline from a recognized institution is required.
- Undergraduate degree preferred.
- Manitoba driver's license is an asset.
- Minimum four years of directly related experience is required.
- Demonstrated project coordination or event planning experience is required, including the ability to plan and complete projects on time and on budget.
- Knowledge of the University environment and established on campus working relationships preferred.
- Experience with the University's software systems, e.g., FAST, EPIC, Concur, VIP preferred.
- Experience with Raisers Edge or other CRM software is an asset.
- Experience working in higher-ed or not-for-profit organizations is an asset.
- An acceptable equivalent combination of education and experience may be considered.
- Excellent customer service skills and professional demeanour is required.
- Knowledge of general office routines is required.
- Proficiency with MS 365 software (Teams, Word, Excel, and Outlook) is required.
- Excellent communication skills, both verbal and written, are required.
- Must be able to work with minimum supervision and to independently prioritize work as needed.
- Superior organizational skills and the ability to prioritize, meet deadlines and multi-task is required.
- Strong attention to details and interpersonal skills are required.
- Ability to organize, prioritize, and complete complex secretarial, clerical or basic accounting routines is required.
- Ability to deal effectively and professionally with all levels of staff, students and public is required.
- Familiarity with purchasing policies and procedures of the University is an asset.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
