Purpose of the position

The Watch Clerk is a full-time position working with the RCMP Lac La Biche Detachment and may provide support to Lac La Biche County, Protective Services Division, therefore, this position reports to and is under the general guidance of the General Manager, Protective Services Division and Supervisor, Detachment Services. The Watch Clerk operates in a highly confidential environment, performing specialized clerical support duties requiring accurate data entry.

Technical Duties

Royal Canadian Mounted Police (RCMP), Lac La Biche Detachment

  • Prepare, complete and serve subpoena and prepare insurance letters.

  • Assist in preparation of Court packages and handle Crown requests.

  • Assists, tracks and releases criminal record checks and vulnerable sector checks submitted by the public.

  • Compiles information and data and prepares Motor Vehicle Collision Reports.

  • Provides radio dispatch communications with officers in police vehicles, other detachments, emergency personnel, and operators working with in the Operational Communication Centre.

  • Provides transcription services for documents, statements, and other items for investigation files, court documents.

  • Data entry and file management in PROS, CPIC, JOINT, AND PAT.

  • Other duties as approved by Lac La Biche County and RCMP.

Lac La Biche County, Protective Services

  • Provides informal dispatch services for Enforcement Services.

  • Provides information as requested for Protective Services, i.e., MVC filing.

  • Participates in committee meetings relevant to the role.

General Responsibilities:

  • Provides frontline receptionist duties – greets, assists and redirects in person, telephone and email inquiries. Provides excellent customer service with colleagues, customers, local stakeholders, and the public.

  • Sorts and distributes incoming/outgoing mail.

  • Drafts, seeks approval, proofreads, and distributes letters, memos, data, reports, applications, documents, forms, agendas/minutes, and other correspondence on behalf of the department.

  • Enters and retrieves data from internal/external online information systems.

  • Creates, inputs, and organizes related department files into computer databases and/or physical locations.

  • Fosters a positive work culture and contributes to building a collaborative team environment.

OH&S Responsibilities

  • Assume Emergency Management duties as assigned.

  • Promotes and models safety in the day-to-day operations of department.

  • Maintains awareness of and adheres to each respective organization’s OH&S policies and procedures by following responsibilities as outlined in the Health and Safety Manual.

  • Complies with each respective operations safe work procedures and the OH&S program requirements.

Records Management Responsibility

  • Complies with the Protection of Privacy and Access to Information Acts and the RCMP/Lac La Biche County records management policies, adhering to confidentiality measures in all practices.

EDUCATION, TRAINING, & EXPERIENCE:

  • Certificate in Business Administration, or a related field. Diploma preferred.
  • One to two years related administrative experience in protective/emergency services environment is preferred.
  • Proficiency in MS Office Word, Excel, Outlook
  • Accuracy and detail oriented
  • Organizational and time management skills
  • Ability and willingness to learn organizational software applications
  • Data entry skills
  • Minute taking skills
  • Ability to work in a busy and noisy work environment; work under pressure in stressful situations.
  • Experience in handling sensitive and confidential information.
  • Performs other related duties as assigned.

LICENSES AND CERTIFICATIONS:

  • First Aid/CPR Certification.

  • Protection of Privacy and Access to Information Act Training.

  • Customer Service related training is an asset.

  • Class 5 Driver’s license.

WORK ENVIRONMENT:

Hours of Work: shift work including days, evenings and weekends

Ability to work in a fast paced environment with noise and distractions.

May be confronted with challenging customers in person and on the phone from time to time.

Location/Work Environment: Controlled physical office setting.

Successful candidate(s) are required to provide an RCMP Criminal Record Check, Class 5 Driver's Abstract, and related certifications.

  • Salary range is: $65,518.40 - $85,196.80 ($31.98 - $40.96 hourly)
  • Permanent full-time position
  • 40 hour work week. Shifts may include days, evenings or weekends.
