SUMMARY – Shop Operations Manager

Reporting to the Maintenance Support Services Director - the Shop Manager role is accountable to execute the strategic direction for fleet operations with the corporate direction of the TransX.

Working with the team, the position is responsible and accountable for the efficient delivery of equipment maintenance services through the tactical alignment with the daily activities of operations located in the region. The position is the custodian of the P&L for the shop responsible for, accountable for both topline revenue generation and cost streamlining to maximize profit at the bottom line. Providing a high-quality and cost-effective maintenance service keeping safety as a priority, while ensuring customer satisfaction through collaboration with senior stakeholders. The position will execute change initiatives and motivate the team to create more value and enhance overall performance to meet the expectations of the Maintenance & Procurement division and all stakeholders. KEY ACTIVITIES

Planning & Daily Operations

  • Establish the plan, coordinate, and monitor resource requirements to ensure maximum productivity and utilization of technicians, shop facilities, tools & equipment, and materials
  • Execute scheduled preventive maintenance targets ensuring productivity, capacity utilization and quality level in day-to-day operations
  • Review and approve shift plans and ensure the workload is pre-staged for optimizing active bay usage, reducing idle time and change over time for technicians
  • Guide technicians in the troubleshooting and diagnosing of repairs and in parts kitting
  • Review shop KPIs and identify strategies to meet or exceed expectations
  • Lead and guide support staff working in business functions covering parts management, customer service, billing, payables, and administration
  • Initiate and evaluate candidates in the recruitment of technicians and shop resources aligning with the HR
  • Provide coaching, mentoring, and training to the team on technical subject matters and continuous improvement initiatives
  • Collaborate with the Shop Supervisors in the performance appraisal and employee turnover
  • Collaborate with the concerned stakeholders on disciplinary issue

Monitoring and Controlling

  • Manage shop operating budget by closely controlling monthly expenditures
  • Ensure SRTs are adhered to by monitoring SRT, and parts variance reports periodically
  • Identify and adopt strategies that will ensure resource utilization benchmarks are met
  • Ensure the adherence to all TransX and governmental safety and regulatory compliance
  • Ensure that team members are on-time by tracking absenteeism and working as required by their set work schedule and job descriptions

Preventative Maintenance

  • Implement and ensure timely and efficient completion of all scheduled preventive maintenance tasks
  • Assist in the implementation of preventative maintenance program adhering to the master schedule
  • Ensure the team is properly trained on preventative maintenance processes and SRT’s performance to provide consistent service delivery to improve uptime

Customer Service

  • Ensure the successful delivery of customer service excellence in a cost-efficient manner to internal and external customers
  • Responsible and accountable for the efficient service delivery through tactical alignment with the daily activities of operations located in the region
  • Provide a high-quality and cost-effective service for customers across and outside the organization through collaboration with senior stakeholders

Vendor Performance Management

  • Negotiate and administrate site-specific repair contracts with existing vendors for the region as required to explore possibilities of sourcing new vendors
  • Ensure new and Existing Vendors are aware of and adhere to TransX repair standards and to review their performance
  • Control in-house versus outside service ratio to limit vendor costs while ensuring quality, safety, cost of repairs, and service efficiency throughput
  • Implement the development of a skills matrix that encompasses all shop staff that will allow for the recruitment and placement of resources
  • Collaborate with the Maintenance & Procurement division to ensure attrition of technicians and resources
  • Collaborate with the Maintenance & Procurement division to implement the employee engagement metric and to implement developed programs that work to increase employee engagement at the shop level

SKILLS AND KNOWLEDGE

Education

  • Grade 12 with a post-secondary degree in business management or a related subject.
  • Post-secondary training in Heavy Duty, Automotive and/or Transport Maintenance is a benefit.

Experience

  • Five plus years of supervisory experience with five-plus years of Transport Truck & Trailer mechanical experience.

  • Experience in working in a team environment and independently with minimal supervision, business acumen, financial management, multitasking and problem-solving skills.

  • Computer proficient in a variety of software applications (MS Office, proprietary engine, component software programs etc.)

  • Excellent understanding of fleet maintenance processes and strategies, their effectiveness and the metrics that clearly describe the performance

  • Strong knowledge of heavy equipment and commercial motor vehicles such as cars, vans, trucks, specialist vehicles (such as mobile construction machinery), trailers and their applications

  • Knowledge of transportation industry dynamics, safety standards, customer needs and pain points
