About the role
Position Overview: We are currently looking for a results-driven Project Management to join our innovative, growing company. The North American Project Management team is responsible for establishing the foundation for all integrated projects- responsible for managing the entire lifecycle of events, from initial consultation to post-event evaluation, all while fostering strong relationships and delivering exceptional service. They will work closely with the Associate Director, Project Management to support the profitability, scope management and on-time delivery of those projects.
Responsibilities:

Project Planning and Scope Management:
- Clear understanding of project scope and client budget
- Develop detailed project plans, timelines, resourcing /capacity, and budgets based on project requirements.
- Work closely with internal teams to execute the client's vision while adhering to budget and timeline constraints.

Communication and Updates:
- Provide regular updates on project progress, changes, and milestones.
- Coordinates, leads, recaps all internal and/or external project status meetings (kick-off, status updates, financial reviews, post project review)
- Effectively communicate project timelines, deliverables, and expectations to all stakeholders.

Problem Solving:
- Anticipate and address potential challenges or changes to the project scope.
- Work collaboratively with clients to find solutions that align with their goals and expectations.

Vendor Management:
- Oracle Fusion System Ownership (Purchase Order Requisitioner)
- Responsible for partnering with the Buyer to set-up vendor based on client and Mosaic requirements.
- Facilitate vendor payment.
- Document and track all vendor payments.
- Liaison with Legal, Buyer, AP, CST to ensure vendor is paid and all other inquiries.

Compliance:
- Salesforce Project Compliance
- Concur travel and expense approvals.
- Understand client MSA financial and legal compliance requirements
- Internal Pcard Compliance (payments, coding, etc)

Profitability:
- Support CST in project Budget Development in partnership with Production & Creative
- Management of project spend to date using standard Mosaic templates (personnel and out of pocket expenditures)
- Management of project expense forecast for all related spend
- Ongoing project variance analysis recommendations and communications
- Consulted for historical project data where appliable

Quality Assurance:
- Ensure that all aspects of the event meet or exceed the client's standards and expectations.
- Conduct thorough quality checks and inspections to guarantee a flawless planning and execution.

Post-Event Wrap:
- Gather feedback for client’s post-event to assess satisfaction and identify areas for improvement.
- Collaborate with internal teams to implement improvements based on client feedback.

General:
- Internal department collaboration
- Continuous Improvement – Project Operations ways of working
- Supports Associate Director in creation and implementation of departmental tools/templates
- Contributor to the agency's culture, vision, and direction
- Miscellaneous Duties Assigned
Qualifications:
- Degree in Event Management, Marketing, Business, or a related field
- 3-5 years of relevant work experience
- PMP certification is not required for this role, possessing one would be viewed as a valuable asset
- Proven experience as a Project Manager in live events.
- Exceptional interpersonal and communication skills.
- Strong organizational abilities with attention to detail.
- Ability to manage multiple projects simultaneously.
- Flexibility to work irregular hours, as required by live event schedules.
