About the role

Canadian Mental Health Association Peel Dufferin (CMHA Peel Dufferin) is pleased to partner with various agencies in the Peel Region, to offer services to the local community at the *new* Brampton based Homeless and Addictions Recovery Treatment (HART) Hub.

HART Hubs are community-based care hubs designed to address mental health, addiction and housing needs for people experiencing homelessness. They provide integrated care, offering a wide range of services such as primary care, mental health services, addiction care and employment supports. With targeted community outreach and rapid referral pathways, HART Hubs aim to support individuals with complex needs, helping them recover, achieve housing stability, and inclusion.

We are looking for a full-time permanent Program Assistant to join our team!

The Program Assistant will provide support to the Managers and clinical team, whose focus is carrying out administrative tasks that impact daily operations including front desk reception duties, participating on organizational committees and providing project support.

Status: Permanent full-time, 37.5 hours per week, Mondays-Fridays between 9am-6pm, flexibility for some evenings/weekends. Note, this posting is for an active vacancy.
Salary: $42,930 - $49,825.84 annually. (Candidate qualifications will be considered when determining the starting salary)
Location: This position is based out of our Brampton office. Due to the nature of this program, this role is on-site and/or community based.

What You Will Do:

  • Support scheduled rotational front desk coverage, welcoming clients and visitors to our space

  • Facilitates any immediate requests and coordination such as receiving deliveries and engaging with vendors/service providers

  • Engages with clients to collect client feedback

  • Maintains supply inventory by checking stock to determine inventory level, replenishing supplies, ordering supplies as needed, verifying receipt of supplies

  • Acts as a liaison between the Program Manager and staff to ensure appropriate coordination and follow-up on day-to-day needs

  • Manages and maintains confidential information

  • Where applicable, manages and maintains the Manager’s and teams work schedule, including scheduling shifts for the 24/7 programs

  • Supports the Manager with financial processes including, electronic timesheets, payroll and HR administration processes as required

  • Prepares purchase orders, quote sheets and reconciles invoices, ensuring appropriate follow-up with Finance and Accounts Payables

  • Follows up on monthly expense procedures for Program staff, as per policy

  • Tracks and monitors mandatory staff training for program and supports with registration

What You Need to Join Our Team:

  • Post-secondary diploma in Business/Office Administration is required

  • Minimum 3 years of office administration experience

  • Superior knowledge and understanding of administrative role supporting large multi-disciplinary teams

  • Experience working in the non-profit sector is an asset

  • Demonstrated experience working within a multidisciplinary team and evidence of an ability to collaborate and partner

  • Working knowledge and/or an understanding of various disciplines; including but not exclusive of mental health, substance use, harm reduction, newcomer challenges and barriers faced by those in marginalized populations

  • Demonstrated cultural competence, ability to work and apply practical understanding of different elements of diversity, equity, inclusion and belonging as well as an understanding of social determinants of health and impact on vulnerable communities

  • Experienced at engaging in matters that require sensitivity and empathy across a diverse community, excellent judgement, and discretion; ability to operate with various frameworks including culturally sensitive, anti-racist, anti-oppressive, 2SLGBTQ+ affirming and intersectional

  • Fluency in a second language, including ASL (American Sign Language) is considered an asset

  • Ability to travel within and around Peel Region and Dufferin County

  • A satisfactory Vulnerable Sector Screening (Police Check) report
