**Job Summary:**Reporting to Manager, Athletic Operations, the Varsity Events Coordinator plays a key role in planning and executing Ridgeback sports events at Ontario Tech University. This role focuses on the operational and logistical execution of sports events, including regular season games, playoffs, marquee games, student-athlete recognition events, fundraisers, alumni, OUA championships and campus engagement events. The coordinator ensures the execution of high impact varsity events, elevating Ridgeback brand and optimizing student-athlete performance and fan experience.

Responsibilities/accountabilities:

Event Coordination

  • Coordinate and deliver varsity, club and recreational sports events
  • Prepares, updates and communicates event tasks, venue preparation, equipment placement, timelines, documentation and other associated tasks
  • Coordinates bookings and materials, accessibility and accommodation requirements, and promotional materials and activities
  • Acts as on-site coordinator for events, directing support staff and service providers, officials and teams
  • Coordinate and participate in the set-up and take-down of events
  • Coordinates student staffing and assignments for varsity and campus recreation events
  • Identifies, monitors and reports safety and security concerns

Communication

  • Supports publicity and generates awareness of all games and activities to Ontario Tech students and community in collaboration with campus partners
  • Ensures team and student-athlete information is gathered and accurately shared through all communications

Fan Experience

  • Works in conjunction with other staff including Varsity and Campus Recreation Events Team to produce an enjoyable sport experience for participants, competitors, spectators and community
  • Assists in promotional initiatives during games
  • Ensures spectators receive outstanding service by proactively greeting, acknowledging and re-approaching customers and maintaining solid product knowledge
  • Ensures customer concerns are resolved accurately, professionally and in a timely manner

Required Skills:

  • Strong event planning and coordination skills with the ability to manage multiple events simultaneously
  • Ability to coordinate pre-event, event-day, and post-event activities to ensure smooth execution
  • Experience managing event timelines, run-of-show documents, and operational plans
  • Excellent organizational and time management skills with strong attention to detail
  • Ability to prioritize tasks and manage competing deadlines in a fast-paced environment
  • Strong problem-solving and decision-making abilities during live events
  • Ability to work effectively with coaches, student-athletes, staff, volunteers, officials, sponsors, and externa partners
  • Strong collaboration skills with internal departments and external partners

Required Knowledge:

  • Strong knowledge of university sports
  • Familiarity with rules of sport governing bodies
  • Strong understanding of fan engagement strategies and in-venue entertainment best practices
  • Knowledge of game day & event operations, including scheduling, logistics, staffing, and facility setup.
  • Familiarity with accessibility, equity, diversity, inclusion and Indigenous relations principles in event design
  • Understanding of FIBA basketball, FIFA Soccer and OHA hockey rules would be considered an asset
  • Knowledge of OUA/USPORTS game-day protocols is an asset

Required Education:

  • Completion of a three-year post-secondary program in Sports Administration, Public Relations or equivalent
  • Certification in Standard First Aid and CPR an asset
  • An equivalent combination of education and related experience may be considered.
  • Verification of Academic credentials may be required

Required Experience:

  • 1-3 years’ experience in event promotions, fan engagement, sports marketing and sport management.
  • Experience designing and executing promotional campaigns, contests and themed events an asset
  • Experience collaborating with and coordinating sponsors, marketing teams and operational staff to support integration of promotional activities into events
  • Experience coordinating game day scripts, promotions, halftime activities, and presentations.
  • Experience coordinating and supervising event staff, volunteers, and student workers.
  • Experience in creating a dynamic and engaging game day atmosphere.
  • Experience working in a sport or entertainment venue considered an asset
