About the role
As a key member of the Lexus of Calgary team and reporting to the Service Manager, the Appointment Coordinator will work with the service department, representing a world-class leader in the automotive industry.
Lexus of Calgary is seeking our next great team member to join our team as a Full-time Appointment Coordinator at our location in Calgary.
Summary:
The Appointment Coordinator is responsible for engaging with customers, scheduling service appointments, following up on service inquiries, and ensuring seamless customer experience. This individual must ensure that database records are thoroughly complete and always up to date.
Major Responsibilities:
- Answer incoming calls and schedule service appointments.
- Make outgoing calls for appointment confirmations, follow-ups, and service reminders.
- Greet customers in a friendly and professional manner.
- Accurately collect and update customer and vehicle information.
- Manage and respond to incoming service leads to convert into bookings.
- Accurately describe customer requests in appointment bookings.
- Ensuring parts availability and dealership preparedness for appointments.
- Accurately recommending and selling services based on a vehicle’s history.
- Reviewing and advising customers on warranty status, open recalls, and pre-paid service plan coverage.
- Assist service advisors with administrative and communication support.
- Deliver a consistently positive and professional customer experience.
Work Environment:
Monday to Friday shifts may vary between 7:00 a.m. – 4:00 p.m. and 8:30 a.m. – 5:30 p.m., with occasional Saturdays required.
Qualifications
- Previous customer service experience required (automotive experience is an asset but not required).
- Legally eligible to work in Canada.
- Strong English verbal and written communication skills.
- Comfortable handling both inbound and outbound communications.
- Excellent organization and time-management skills.
- Ability to multitask and remain calm in a busy environment.
- Comfortable using computers, phones, and scheduling software.
- Positive attitude, reliability, and strong attention to detail.
- Team-oriented and collaborative mindset. Comfortable working in teams.
- Second language(s) are considered an asset.
