Scope:
The Sales Coordinator is responsible for providing administrative, reporting, and forecasting support to the Sales Admin Manager, the Sales Team, and the Sales Administration Team. This role plays a key part in ensuring accurate reporting, effective vendor communication, timely forecasting, and smooth coordination of sales operations.
Duties & Responsibilities:
Sales Reporting
- Prepare and distribute weekly sales reports, including:
o Sony Weekly Sell-In Report
o Sony NRS Report
o Weekly Margin Review
o Stash Report
- Prepare and distribute daily sales reports and daily sales snapshots
- Support monthly and additional recurring reporting requirements
- Respond to ad hoc reporting requests from management, the sales team, and vendors
Forecasting
Monthly Forecasting:
- Prepare monthly forecast files for the Gaming and Mobility teams
- Complete and submit:
o Sony Monthly Forecast
o Backbone Monthly Forecast
o Tonies Monthly Forecast
Bi-Weekly Forecasting:
- Prepare new release forecasts for:
o Capcom
o EA
o Take-Two
Ad Hoc Forecasting:
- Manage forecasting requests from Purchasing, vendors, management, and other internal stakeholders
Street Date Communication & Tracking
- Create and track street date letters for Take 2 and Nintendo
- Upload vendor letters to Adobe and distribute to the Sales Team
- Maintain new release tracking reports for Take 2, Nintendo, and Microsoft
Sales Operations Support
- Coordinate DLC code distribution
- Prepare and distribute weekly “To Be Completed” email updates
- Schedule vendor and internal meetings
- Support customer account setups
- Assist the Sales Administration Team with overflow tasks, including BERs, COOP submissions, and item setups
- Respond to additional ad hoc reporting and operational requests as required
Skills & Qualifications:
- 3+ years of experience in a sales administration or sales support role
- Demonstrated ability to manage multiple priorities and competing deadlines effectively
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to interpret vendor requests, identify solutions, and resolve concerns in a timely and professional manner
- Strong attention to detail and accuracy
- Ability to work independently while contributing effectively within a team environment
- Advanced proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with Great Plains is considered an asset
The successful candidate will receive a conditional offer, contingent upon the successful completion of a background check conducted by our contracted third-party vendor. The specific clearance requirements vary by position and may include one or more of the following: criminal background check, credit check, employment verification, education verification, and driver’s abstract review.
