About the role
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This position supports the Community Services & Planning Department, which includes Planning & Development, Health & Safety, Animal Control, Bylaw Enforcement, Fire and GIS functions.

Responsibilities
-**Application Management:**Process Development Permit, Subdivision, Variance Request, and Land Use Bylaw Amendment applications. Review for completeness, follow up with applicants, create files, mail decisions, and file documents. -**Developer Assistance:**Provide support to developers in person, by phone, or email. -**Project Assistance:**Coordinate and conduct special planning studies, research projects and investigation requests. -**Enforcement:**Prepare and track Land Use Bylaw infraction enforcement letters. -**Meetings:**Prepare agendas and take minutes for various meetings, including but not limited to Municipal Planning Commission (MPC) and staff meetings. -**Correspondence:**Prepare department correspondence and organize out-of-office meetings/open houses. -**Event/Workshop Coordination:**Register and arrange accommodation for attendees at conferences and workshops. Coordinate and plan functions. -**Data Management:**Update the GIS System with development data and import information into the Electronic Safety Information Tracking Environment (eSite). -**Health & Safety:**Provide administrative support to the Health & Safety Advisor position in the scheduling training and meetings and audits. Assist in ensuring that the health and safety program, incident tracking, and regulatory documentation are organized, up to date, and accessible through WorkHub. -**Animal Control:**Assist with public inquiries about the animal care facility, adoption applications, update social media, and attend adoption events. -**Emergency Events:**Serve as a scribe in the Emergency Coordination Centre (ECC) during emergencies.
Knowledge, Skills & Attributes
- Able to problem solve and communicate in a professional manner with internal staff and external clients.
- Must maintain confidentiality
- Must be self-motivated, and able to work with minimal supervision
- Attention to detail and organized.
- Excellent communication (verbal and written) skills
- Excellent computer skills
Education & Experience
- Grade 12 or equivalency
- Recognized Administrative Assistant Course an asset
- 2 years of experience in an administrative assistant role with a focus on customer service and public interaction.
- Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, Publisher)
- Must provide a current driver abstract
- Criminal Records Check
Working Conditions & Physical Environment
- Extensive use of computer and telephone.
- Extended periods of sitting, good lighting, temperature, and noise control.
- Medium physical effort; occasional light-moderate lifting.
- Use and operation of a vehicle.
- Some travel may be required.
Compensation
Big Lakes County offers an excellent benefit and pension package with a competitive salary.
Hours of Work
Monday-Friday 7.25/day.
