Position Summary:
This position reports to the Administrative Operations & Continuous Improvement Manager and is part of the multi-disciplinary team. The program coordinator is responsible for overseeing the daily administrative activities of the following Woodview programs: L.I.F.E, Adult Residential, Children’s Respite, Passport, Fee for Service, Community Participation, and related groups/programs to ensure optimal service delivery and support to staff, leadership and programs.
JOB RESPONSIBILITIES (May Include but are not limited to)
- Participates in area Huddles and performs all necessary administrative duties associated with huddle
- Manage and coordinate the referral process for all programs by overseeing client database (EMHware) entries, maintaining waitlists, processing discharges and updates, and liaising with Contact Hamilton regarding service access and accepted referrals for Children’s Respite programs.
- Oversees administrative Quality Assurance Measures (QAM) processes and owns the QAM process ensuring programs have fully completed all necessary requirements to meet or exceed QAM standards
- Oversees and ensures staff are registered and attend required training before renewal deadlines. Ensures all training participants are properly documented and sent to HR for matrix updates.
- Oversee day-to-day support for area buildings, cleaning, security, contracts etc. (Includes Kiwanis Manor and York)
- Consult with other service providers to communicate information, resolve problems, and ensure seamless service delivery.
- Formally represents the agency on community and internal committees.
- Works with others across the agency on collaborative projects and initiatives as opportunities arise.
- Responsible for addressing on-site administrative issues e.g., inventory ordering, site inspections, etc.
- Completes and is first point of contact for IT related questions and concerns.
- Responsible for monthly credit card reconciliations for the Admin Coordinator, Program Manager, and Area Coordinator, while supporting Program Coordinators and Managers with all credit card-related financial tasks, including billing, Fee For Service backup documentation, Passport requisitions, and monthly reporting.
- Acts as the Health and Safety (H&S) representative (ensure H&S discussions occur, completes site inspections where required, keeps records of H&S needs, vehicles)
- Ensures that Woodview is meeting The Canadian Centre for Accreditation Standards and ethical standards for research, evaluation, and quality improvement processes.
- Ensures adherence to professional standards of service consistent with legislative requirements, directives, and expectations of Woodview policies, procedures, and practices.
QUALIFICATIONS & COMPETENCIES
(Including any registration, certification, or licensing required for regulated professionals)
- Must have a valid G driver’s license and a reliable vehicle
- Post-secondary education in an appropriate discipline from a recognized University/College preferred or the equivalent in experience.
- Knowledge of Quality Assurance Measures through Ministry of Children, Community and Social Services (MCCSS) an asset
- Incumbents must be trained in AODA, First Aid, CPR and WHMIS
- Strong problem-solving abilities to identify areas for improvement and develop solutions.
- Considerable experience working in a social service environment and a high degree of resourcefulness, flexibility, and adaptability.
- Must have a well-defined sense of diplomacy, including solid negotiation, conflict resolution and people management skills.
- Must be computer literate and have effective MS Word, Excel, and e-mail working skills.
- Incumbents must have proven assessment, critical thinking, and decision-making skills.
- Excellent planning, organizational and time management skills, and excellent oral and written communication skills.
- Must be able to take initiative, work autonomously and meet targets/deadlines.
- Excellent analytical, problem-solving, and decision-making skills are required to assess situations and implement action.
- Sound judgment is essential, as is the ability to be politically and culturally sensitive
