Opportunity
MacEwan University is seeking an Administrative Assistant, Canada Research Chairs Program for a full-time continuing opportunity with our Office of Research Services.
The Administrative Assistant provides comprehensive and centralized administrative support to the Office of Research Services, including the office’s key clients, the Canada Research Chairs (CRCs), in tasks associated with scheduling of meetings, event coordination and planning, and office supply management. You will provide general administrative support for the overall management of the CRC program through the Office of Research Services.
Key responsibilities include:
- Receiving inquiries from stakeholders (e.g. students, staff, faculty, guests/visitors, and public) and responding or referring as appropriate. This includes monitoring of shared email accounts related to CRC research centres/institutes;
- Managing the CRC(s) calendar, including prioritizing meeting requests, scheduling regular and recurring meetings, and processing of registration for conferences and other events;
- Assisting with and booking travel arrangements by providing options for the CRC for business/research purposes;
- Assisting with budget tracking, and running of financial reports for active research grants;
- Preparing, coding, and submitting of CRC(s) expense claims and reconciling monthly P-card charges for the CRC(s), as well as own P-Card;
- Providing support for meetings and event such as working sessions, round tables, seminars, symposia, including booking rooms, catering, and technology services , taking minutes, and preparing materials and
- Communicating general logistics to presenters, guests, faculty, and other audience members
- Other duties as assigned
SKILLS
You will have:
- Excellent time management, organizational and prioritization skills, with a high degree of independence;
- Effective problem-solving skills with keen attention to detail;
- Discretion, judgment, and tact with an understanding of the acute sensitivity to the political environment and reputation of MacEwan;
- The ability to maintain strict confidentiality and appropriately handle sensitive information;
- Excellent interpersonal skills to effectively work with, and build, collaborative relationships with a diverse group of people, both internal and external to the University;
- Service-oriented approach and capability of dealing with a wide variety of constituents in a professional, respectful manner;
- Flexibility and ability to easily adapt to changing priorities;
- The ability to maintain a calm demeanor, focus, and high level of work performance in a multi-tasking, highly intensive office environment with competing demands and frequent interruptions;
- Strong proofreading and editing skills;
- The ability to create professional written materials and correspondence;
- The ability to take initiative, and manage multiple projects and/or priorities with minimal supervision;
- Resourcefulness, with the ability to use networks to gather information/data to prepare briefs and summaries as required; and
- Demonstrated commitment to fostering a collaborative working and learning environment that celebrates diversity and inclusion.
QUALIFICATIONS
- A minimum of a diploma in Office or Business Administration or a related field of study.
- A minimum of 3 years in an increasingly responsible administrative or relevant capacity, preferably post-secondary setting.
- Knowledge of POPA and records management policies, practices and legislation.
- An equivalent combination of education and experience may be considered.
