Position Summary Under the general direction of the Registrar and Assistant Dean, Enrolment Management, the incumbent is responsible for providing strategic direction, coordination, development and reengineering of examinations processes, campus space utilization and scheduling, academic standards and petitions in the Office of the Registrar (OR).

The incumbent will work in close consultation with the OR senior management team, Office of the Dean, and academic and student service departments on the systems and business processes that interact with campus scheduling, exam administration, and academic petitions, to streamline processes, provide efficiency, and excellent levels of service.

The incumbent directly supervises the Assistant Registrar, Campus Scheduling and Examinations, and the Assistant Registrar, Academic Standards and Petitions, while providing direction and leadership to all members of the team. The Associate Registrar reviews and revises existing policies and practices to ensure consistency with overall enrolment management objectives, recommending changes to policies and practices as necessary. The Associate Registrar is responsible for monitoring exam, campus scheduling, petition and appeal service statistics, preparing analysis summary reports and conducting research into best practices in higher education and the effectiveness of practices at UTM.

Qualificaitons Required Education University degree or an equivalent combination of education and experience. A clear understanding of the Ontario university system and the registration, enrolment and graduation process. Knowledge of the University of Toronto Mississauga programs and courses, degree requirements and academic rules and regulations.

Experience Minimum of 5 years’ experience managing a busy, student service and/or registrarial services in a university setting with at least 3 years experience in a senior supervisory role in a unionized environment. Knowledge of campus scheduling, exam administration, and/or academic standards is required. Experience evaluating and improving processes and service delivery. Knowledge of enrolment management principals and practices. Experience working with senior leaders and presenting in front of large groups of students, staff, senior staff and/or officials.

Skills Excellent communication, collaboration, and presentation skills; superior managerial skills with attention to organization and time management; proven ability to exercise superior judgement, initiative, analytical and problem solving skills; strong leadership and team building skills and the ability to manage and motivate staff at different levels; demonstrated ability to deal effectively with a wide range of contacts; effective negotiation and interpersonal skills. Solid working knowledge and understanding of a university student information system.

Other Excellent judgement, reliability, diplomacy, tact; demonstrated initiative, strong problem solving skills, flexibility. Ability to plan, prioritize, multi-task and work effectively under pressure. Proven ability to provide a quality services environment in a university registrarial setting.

Proven supervisory and project management skills; proven organizational skills; effective human relations and leadership skills; innovativeness and resourcefulness; evidence of team-leading project skills; very good communication and interpersonal skills.
