Position Summary
Reporting to the Senior Accountant – Financial Reporting, this permanent part time position is responsible processing vendor invoices and employee expense claims and remitting payments for the City and the Fort Saskatchewan Public Library. This position provides backup support for other Accounting Clerks within Financial Services.
Responsibilities
include, but are not limited to:
- Receive, verify, and process invoices from vendors; match invoices to purchase orders and receiving reports.
- Review employee expense claims for completeness and compliance with policy.
- Update outstanding balances with credit memos that are due.
- Process corporate credit card transactions, ensuring accuracy and compliance with policies; reconcile credit card statements and resolve discrepancies promptly.
- Scan and file invoices, receipts, and payment records in the document management system.
- Verify procurement authority for requisitions and purchase orders.
- Conduct Workers’ Compensation Board (WCB) clearance checks for vendors and subcontractors.
- Assist with preparing payment batches under direction.
Qualifications
The successful candidate will have a Grade 12 Diploma and strong attention to detail and proficiency in accurately entering financial data. Completion of basic entry level accounting courses is required. The ideal candidate will have excellent analytical and organizational skills. The ability to communicate effectively with vendors, colleagues, and other departments, while handling inquiries and complaints professionally is essential. The incumbent will have knowledge of accounting processes and the City’s accounting software for processing payments to vendors and employees. Proficiency with Microsoft Office 365 Suite is required, especially with Excel, Word, Outlook and PowerPoint. Previous experience with Enterprise Resource planning software (e.g. Microsoft Dynamics GP) and document management software (e.g. SharePoint, Laserfiche) is considered an asset.
This position is within the scope of C.U.P.E. Local 30, and as such, you will be required to adhere to the articles contained within the Collective Agreement.
Hours of Work: Monday to Friday; varying daytime shifts.
