Position Overview The Receptionist / Office Coordinator is the first point of contact for Northern Mat & Bridge and plays a key role in creating a welcoming, organized, and efficient office environment. This role supports front desk operations, office administration, facilities coordination, and employee experience initiatives. The successful candidate is proactive, highly organized, and committed to delivering a positive and professional experience for employees, guests, and partners. Key Areas and Responsibilities Front Desk & Reception Operations
- Greet and welcome guests, visitors, and employees in a professional and friendly manner
- Direct visitors to the appropriate person or department while maintaining security protocols
- Answer, screen, and forward incoming phone calls and inquiries
- Provide accurate information in person, by phone, or via email
- Maintain a clean, organized, and presentable reception area
Office Operations & Administrative Support
- Receive, sort, and distribute mail, couriers, and deliveries
- Maintain inventory and order office supplies, snacks, and beverages
- Support general administrative tasks across departments
- Maintain company calendar and SharePoint updates
- Assist with meeting preparation, including catering and special requests
- Complete daily upkeep of kitchen, meeting rooms, and common spaces Facilities & Vendor Coordination
- Liaise with and manage relationships with facility vendors (cleaning, maintenance, etc.)
- Coordinate office maintenance and ensure workplace functionality
- Support adherence to office safety and access procedures
Office Coordination & Culture Initiatives
- Actively support a positive, inclusive, and professional office environment
- Serve as a Social Committee representative, assisting with national planning and executing local employee events
- Coordinate employee recognition initiatives including gifts
- Draft and distribute internal communications related to office events and culture initiatives
- Maintain the Social Committee SharePoint page and related content Travel & Event Coordination
- Administer the travel program, including booking and vendor coordination
- Plan and execute onsite and offsite events (catering, venues, logistics, etc.)
- Arrange travel, accommodations, and transportation as needed Technology & Onboarding Support
- Provide basic IT support for office technology and meeting rooms
- Maintain technology asset inventory
- Set up workstations for new employees
Qualifications & Experience Knowledge, Skills & Abilities
- Strong customer service and interpersonal skills
- Excellent organizational and multitasking abilities
- Professional written and verbal communication skills
- Ability to be proactive and resourceful in resolving issues
- Strong attention to detail and ability to prioritize work effectively Experience & Education
- Minimum 1+ years of experience in a receptionist or office administration role
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Grade 12 diploma required; post-secondary education in administration is an asset
- Class G License required
Compensation
- Compensation is commensurate with qualifications and relevant experience.
