About the role

The Dean's Office in the Faculty of Kinesiology is currently seeking a Full-time Regular Manager of Events and Bookings .

The Operations Unit is responsible for maintaining, operating and booking facilities and events in the Kinesiology Complex, outdoor playing fields and Olympic Oval. The Complex is open 362 days a year, servicing approximately 1,250,000 people per annum. The Complex has gymnasia, dance studios, fitness studios, one 50 metre swimming pool, weight rooms, 15 class/lecture rooms, running track, gymnastics centre, squash courts, racquetball courts, outdoor playing courts, outdoor field hockey pitch, outdoor tennis courts, the Human Performance Lab, the Sport Medicine Centre, the Outdoor Centre, the office space for the Faculty of Kinesiology, and the soon-to-be built Taylor Family Kinesiology Building. The indoor complex is 42,000 sq meters and the outdoor fields cover 8 hectares west of the Olympic Oval. The Olympic Oval facilities consist of an indoor hockey rink, an indoor short track rink, a 450 metre indoor track, a 6-lane sprint pad, public locker rooms and meeting rooms.

The candidate must be highly skilled in collaborating with multiple groups and teams within the Faculty and University community and must be able to work with external community groups, making sound decisions related to events that present risk or controversy for the institution at all times. The Manager of Events and Bookings will reports to Director, Facilities & Operation and ensure that sustainable, effective, and efficient practices are embraced.

This position is part of the Management and Professional Staff (MaPS) job family. Regular work week consists of 35 hours. The ability to work extended days and weekends is required to meet critical deadlines. The incumbent will be placed on a rotational after-hours call-out list. In addition, call-outs to the campus can be expected during emergencies.

Summary of Key Responsibilities (job functions include but are not limited to):

Management & Leadership

  • Provides leadership and direction to a team of full-time AUPE employees and various Reoccurring Part Time employees
  • Recruit, hire, train, and performance manage up to and including the point of termination as required
  • Create a work environment that promotes teamwork, collaboration and innovation. Coach and mentor staff to deliver a high quality product and service to both our internal and external clients
  • Manage complex issues and challenging interpersonal interactions with composure and diplomacy
  • Responsible for the administrative management, including day-to-day operations and administration within the guidelines of Human Resources and the Collective Agreements
  • Promotes a collaborative team approach to the work environment through excellent role modeling and coaching
  • Mediates and resolves conflicts amongst direct reports, other faculty/staff and clients using tact, good judgment, and negotiation skills to seek satisfactory resolution and negotiate boundaries on workplace issues
  • Is accountable for the performance and results of multiple groups and teams with a broad range of expertise
  • Is a leader in building a team spirit and identity and regularly recognizes or gives credit to individuals or teams for the successful results of their work
  • Applies a solution-oriented mindset to address challenges proactively, identify opportunities for improvement, and implement practical, forward-thinking strategies

Events Management and Facility Booking

  • Manages and executes the Faculty of Kinesiology's External Event Hosting Strategy
  • Develops, implements, and refines policies and procedures to streamline client interaction, improve workflow, and ensure accuracy and efficiency
  • Oversees facility access systems and the allocation of shared Faculty spaces
  • Prepares and manages the system for facility rental contracts, payment, and evaluation in compliance with the Faculty Space Use Policy
  • Assesses event and booking requirements, coordinating with the Operations & Maintenance Unit to ensure seamless delivery of services
  • Identifies and resolves facility usage issues and concerns, ensuring effective and timely solutions
  • Provides strong planning, organization, and attention to detail to deliver high-quality events and bookings
  • Leads and manages events for the Dean's Office

Client Relations

  • Provides an environment for clients to receive an optimal experience in the facility, ensuring proactive communication and successful execution of events and programs
  • Identifies and implements working, reporting and compliance relationships with other departments on campus
  • Represents or provides representation for the Faculty of Kinesiology on various university and other off-campus committees
  • Ensures accurate and time-sensitive communications with coaches, programmers and stakeholders
  • Communicates professionally with all clients and stakeholders
  • Develops and maintains collaborative working relationships with staff, faculty, programmers, coaches, students, and external clients
  • Serves as a strategic advocate for the faculty and its internal units when liaising with central university departments, ensuring priorities and needs are clearly represented

Financial

  • Develops and implements financially responsible short- and long-range financial plans
  • Liaises with the Director Facilities and Operations to ensure the proper internal systems are in-place to support compliance with the University Finance Services guidelines and procedures
  • Plans and coordinates the revenue generation strategy
  • Identifies and develops new revenue opportunities
  • Presents and manages a balanced budget

Qualifications / Requirements:

  • Undergraduate degree in recreation/sport management or a related field
  • A minimum of 5 years of experience working in a recreation/sport facility, and management and leadership experience in operations
  • Demonstrated and progressive track record in a leadership role
  • Previous supervisory experience including experience mentoring and coaching staff in a unionized environment
  • Strong interpersonal and communication skills such as diplomacy, punctuality, approachability, calmness during stressful times, and the ability to focus and multi-task
  • Budget management with an emphasis on effectiveness and efficiency
  • Ability to create, motivate, and lead diverse teams and units effectively
  • Analytical skills in reaching sound decisions and resolving complex problems
  • Ability to work in a high-volume environment with frequent interruptions and changing priorities
  • Strong planning, organizational and time management skills, accuracy, strong attention to detail
  • Experience developing and improving processes, policies and procedures
  • Knowledge of fire codes, safety codes, environmental regulations, Occupational Health and Safety standards
  • Knowledge and understanding of university context and core business systems is an asset
  • Knowledge and experience in recreational and booking software is an asset
  • Excellent written and verbal communication skills
